Job Summary
The Institutional Resource Development (IRD) Coordinator helps secure funding and resources from public and private institutional grantmaking funders to carry out FH’s mission and strategic priorities by tracking funding opportunities; leading the IRD team in using Salesforce and other technology for knowledge management and reporting related to funding opportunities and proposals; supporting positioning efforts; managing proposals; and providing administrative support.
Skills & Competencies
- Experience and/or ability to maintain and manage customer relationship management (CRM) systems such as Salesforce. Excellent computer skills using MS Office products or similar software, including Word, Excel, Outlook, and PowerPoint.
- Excellent reading, writing, and communication skills in English. Strong ability to read complex documents and then summarize them in concise ways that clearly highlight key information to inform decision making.
- Strong interpersonal skills for working effectively in a multicultural, international team environment.
- Excellent organizational skills, with strong attention to detail.
- Strong critical thinking and problem-solving skills, with the ability to make sound judgments and work independently in a fast-paced environment with tight deadlines and competing priorities.
Responsibilities
- Tracking Funding Opportunities: Track funding opportunities, including monitoring funder websites to identify potential funding opportunities, reviewing and summarizing new opportunities, and sharing information in an effective manner for decision making.
- Salesforce, Reporting, and Knowledge Management: Serve as the IRD team’s Salesforce “Super User” by supporting team members to input accurate data into the Salesforce platform, conducting quality checks to ensure data is up to date and accurate, developing automated Salesforce reports and dashboards, and synthesizing Salesforce data for use in monthly business reviews, pipeline meetings, and other presentations. Ensure file management in SharePoint adheres to the team’s knowledge management policies and procedures. Develop and roll out Salesforce and knowledge management guidance, processes, tools, and training as needed.
- Positioning: Support the organization in positioning for funding opportunities. This may include, for example, conducting competitive landscape analyses and other desk research; developing institutional capacity statements; etc.
- Proposal Management: Serve as the proposal manager on assigned proposals, which includes carefully analyzing calls for proposals; coordinating team members to make decisions on whether to pursue an opportunity (Go No Go decisions); leading proposal kick-off meetings; creating the proposal calendar and ensuring team members understand deadlines; coordinating team members to address all proposal requirements; managing proposal files; coordinating proposal reviews; providing proposal teams with regular status updates; drafting non-technical sections of proposals as needed; proofreading, formatting, and finalizing proposals; and submitting proposals.
- Administration: Monitor the shared IRD team email inbox and manage the IRD team’s shared accounts on business development-related websites and services. Provide administrative support to the IRD team as needed, such as notetaking, processing consultant contracts, etc.
- Other duties as assigned.
Qualifications
- Bachelor’s degree in a relevant field (or equivalent experience), and at least 2 years of experience working in the non-profit sector, international development sector, or other relevant sector.
- Experience with proposal development and institutional fundraising is a plus.
