Human Touch Home Health Care is seeking a qualified Intake & Scheduling Specialist to join our team in Colorado Springs, Colorado. We are a home health care provider dedicated to delivering comprehensive, high-quality skilled and non-skilled services to homebound clients throughout Colorado. The Intake & Scheduling Specialist will support the day-to-day operations of the home care office by coordinating referrals, intake, insurance verification and authorizations, client scheduling, clinician assignments, medical records, and administrative functions. This position requires strong organizational skills, attention to detail, excellent communication, and the ability to work effectively in a fast-paced environment.

Responsibilities:

  • Perform intake, authorization, insurance verification, eligibility, scheduling, and related administrative duties.
  • Answer client inquiries, receive referrals, and assist with coordinating home care services.
  • Obtain and accurately document patient insurance, demographic, and referral information.
  • Identify and verify insurance coverage for home health care services.
  • Obtain and document prior authorizations for home care services from insurance providers.
  • Maintain accurate and up-to-date authorization records and documentation.
  • Communicate with insurance companies, hospitals, medical personnel, clients, and other referral sources regarding coverage, authorizations, admissions, and services.
  • Maintain communication with hospital and insurance personnel and provide information regarding organizational services and coverage requirements.
  • Enter new patients into the scheduling system and update patient information as changes occur.
  • Schedule clinicians to provide ongoing home health care services and ensure appropriate staffing for newly referred clients.
  • Assist with managing clients through staffing, scheduling, operations, and administrative support.
  • Communicate with clinicians regarding admissions, hospitalizations, discharges, authorization expirations, and other client occurrences.
  • Triage unscheduled and emergency situations in coordination with the Authorization Department and appropriate clinical personnel.
  • Prepare and distribute denial letters and other communications to medical personnel, including appropriate documentation and follow-up instructions.
  • Track, collect, and maintain statistical data related to referrals and submit reports as required.
  • Sort, process, scan, and accurately enter incoming reports and documents into appropriate systems and databases.
  • Maintain the accuracy, completeness, confidentiality, and security of medical records and health information.
  • Respond to employee and client questions and requests for information in a timely, professional, and knowledgeable manner.
  • Prepare emails, reports, correspondence, and other written communications as needed.
  • Provide clerical and administrative support to the business office and home care operations.
  • Assist with payroll data entry and processing for approximately 23 clinicians while following established company policies and procedures.
  • Attend meetings and participate on committees as required.
  • Provide excellent customer service and communicate with clients, employees, clinicians, and external partners with professionalism, respect, and courtesy.
  • Perform other duties as assigned to support the goals and objectives of the organization.

Qualifications:

  • High school diploma or GED required; preferred.
  • Minimum of two years of relevant experience, preferably with at least one year in home health, home care, healthcare administration, public health, or a related healthcare setting.
  • Previous experience with intake, authorizations, insurance verification, scheduling, medical records, or healthcare administration preferred.
  • Strong understanding of HMO, Medicaid, and Medicare payors and reimbursement processes.
  • Knowledge of medical terminology and healthcare documentation.
  • Strong computer skills, including Microsoft Windows, Microsoft Office, Word, and Excel.
  • Excellent verbal and written communication skills.
  • Strong interpersonal, organizational, and customer service skills.
  • Ability to accurately manage confidential patient and medical information.
  • Ability to multitask, prioritize responsibilities, and meet deadlines in a fast-paced environment.
  • Strong attention to detail and commitment to accuracy.
  • Ability to work independently with minimal supervision while also working effectively as part of a team.
  • Demonstrated ability to work effectively with healthcare clinicians, patients, insurance representatives, hospitals, and other healthcare partners.
  • Self-directed, dependable, and capable of handling sensitive information with professionalism and discretion.

Position Details

Job Type: Full-time
Pay: $21.00-$25.00 per hour, based on experience
Schedule: Monday-Friday, 8-hour shift
Weekends: No weekends
Work Location: Colorado Springs, Colorado - In Person
