Job Description:Â
This work depends on strong coordination between the field and the office. We are seeking a high energy, detail-oriented, self-starter with 3-5 years of administrative experience and a strong customer service background to support daily administrative operations. This individual will serve as the primary point of contact for incoming calls and visitors, provide direct administrative support, and help ensure the office runs smoothly and efficiently. Â
This position is on site 5 days a week in Washington, DC.
What You’ll Do
Answer and route calls from clients, vendors, and field crewsÂ
Greet visitors, subcontractors, and deliveriesÂ
Handle incoming/outgoing mail, packages, and job-related documentsÂ
Keep job files, contracts, and office records organizedÂ
Manage the CEO’s calendar, meetings, and remindersÂ
Help schedule meetings, site visits, and occasional travelÂ
Assist with preparing documents, reports, and emailsÂ
Track office and basic job-related supplies; place orders as neededÂ
Coordinate with vendors, subcontractors, and service providersÂ
Support HR and finance with onboarding paperwork, timesheets, and filingÂ
Assist project managers with admin tasks (documents, coordination, follow-ups)Â
Help keep the office clean, organized, and running efficiently
Qualifications & Skills
High school diploma or equivalent required; associate degree preferred
Minimum 3–5 years of administrative, office assistant, or receptionist experience
Strong organizational and time-management skills
Excellent verbal and written communication skills (Spanish bi-lingual a plus)
Proficiency with Microsoft Office (Outlook, Word, Excel)
Professional demeanor with strong customer service orientation
Ability to multitask, prioritize, and work independently
