This position serves as a key member of the administrative team, providing operational support to the Principals, Student Support Team, and Family Engagement Team to ensure efficient schoolwide systems, high-quality family services, and seamless coordination of school operations. The School Student and Family Services Coordinator will assist with staffing logistics, substitute coverage, PTO coordination, family engagement initiatives, special education administrative processes, and schoolwide operational projects. This role requires exceptional organizational skills, professionalism, strong communication, and the ability to manage multiple priorities while maintaining confidentiality and a high level of customer service. Job Responsibilities Overview  School Operations & Principal Support Assist the Principals with the daily coordination of staffing, substitute assignments, classroom coverage, and operational logistics. Coordinate daily staff attendance, PTO requests, and staff absences while maintaining accurate records and communicating staffing needs. Develop and communicate daily coverage plans to ensure instructional continuity. Support the onboarding of new employees by coordinating logistics, schedules, technology requests, and orientation tasks. Provide administrative and logistical support for schoolwide initiatives and special projects. Perform additional operational duties as assigned by the Principals. Family Engagement & Community Support Coordinate family engagement activities that promote meaningful partnerships between school and home. Build and maintain positive relationships with families through phone calls, Bloomz, email, newsletters, and in-person communication. Connect families with school and community resources while maintaining confidentiality and professionalism. Coordinate volunteers and community partners supporting school initiatives and family events. Assist with gathering family feedback and communicating trends to school leadership. Family Training & Event Coordination Coordinate the planning and execution of family workshops, trainings, and engagement events throughout the school year. Manage all event logistics, including: Space reservations Technology requests Virtual meeting platforms Food ordering Childcare coordination Translation services Copies and presentation materials Event setup and attendance tracking Promote events through school communication channels, including newsletters, Bloomz, flyers, arrival/dismissal outreach, and staff communications. Track participation, maintain event records, and assist with budget documentation and receipts. Student Support Administrative Coordination Coordinate Special Education meeting schedules and maintain the MDT master calendar. Prepare, organize, and maintain confidential Special Education records in both electronic and hard-copy formats. Assist with preparing, distributing, and filing IEPs, evaluation reports, meeting notices, consent forms, and other required documentation. Support compliance by monitoring documentation timelines and maintaining accurate student records. Assist with Medicaid documentation, billing trackers, attendance records, and service documentation. Support caregiver communication regarding meetings, documentation, and follow-up. Provide written and oral Spanish translation as needed. Organization & Data Management Maintain organized systems for operational, family engagement, and student support documentation. Update databases, calendars, trackers, and confidential files. Monitor expenditures and maintain records for family engagement events and assigned projects. Assist school leadership with reports, data collection, and documentation as requested. Ensure all assigned records are accurate, organized, and maintained in compliance with school policies. Collaboration & Professional Responsibilities Collaborate closely with the Principals, Student Support Team, Operations Team, Family Engagement Team, Instructional Leadership Team, and Business Office. Demonstrate professionalism, urgency, responsiveness, and exceptional customer service in all interactions. Maintain strict confidentiality regarding student, family, and personnel information. Demonstrate dedication to DC Bilingual's mission, Professional Learning Community (PLC), Seven Agreements, and No Nonsense Nurturer expectations. Participate in schoolwide initiatives, professional development, and meetings as assigned. Perform other duties as assigned. Qualifications Required High School Diploma or GED required; Associate's Degree preferred. Bilingual (English/Spanish). Two or more years of experience in school administration, office management, family engagement, or student services. Strong organizational, communication, and project management skills. Ability to manage multiple priorities while maintaining attention to detail. Demonstrated ability to maintain confidentiality and exercise sound professional judgment. Experience working with diverse students and families. Proficiency with Google Workspace, Microsoft Office, spreadsheets, databases, and school information systems. Preferred Bachelor's Degree. Experience working in a school setting. Knowledge of Special Education processes and compliance requirements. Experience coordinating events, schedules, and operational systems.
