The Operations Manager for Enrollment & Families is the person who sets that tone, and who keeps it consistent every single day.

Who We Need Now

Statesmen is seeking an Operations Manager for Enrollment & Families who will own the systems, relationships, and daily rhythms that connect our school to the families we serve. This role is the operational backbone of our family-facing work — managing enrollment from first inquiry through registration, maintaining the integrity of our student data systems, and ensuring that every family interaction reflects the warmth and competence that Statesmen is known for.

 

This is not a passive administrative role. It requires someone who can hold a complex, deadline-driven system in one hand and a worried parent's concern in the other — and do both with grace. The Operations Manager for Enrollment & Families is usually the first person a family talks to at Statesmen. That is a significant responsibility. We are looking for someone who takes it seriously.


What You Will Do

Enrollment Management

  • Manage all phases of the enrollment process through My School DC, the citywide common enrollment system — from lottery administration through registration completion.
  • Process new-family onboarding paperwork, including registration forms, immunization records, emergency contacts, and required compliance documentation.
  • Manage student withdrawals with accuracy and care, ensuring proper record transfer and SIS updates.
  • Maintain the accuracy, completeness, and timeliness of the Student Information System (SIS), ensuring all student records reflect current enrollment status.
  • Monitor enrollment targets against school capacity, identify variances, and report findings and trends to the Director of Operations on a regular basis.
  • Manage waitlists, communicate offers of admission, and track family responses through the enrollment cycle.

Family Engagement & Front Office Operations

  • Serve as the primary point of contact for parent and family inquiries related to enrollment, registration, and school logistics — by phone, email, and in person.
  • Manage day-to-day front-office operations, including visitor sign-in protocols, daily coverage, and the professional presentation of the school's main entry point.
  • Coordinate family-facing communications related to enrollment timelines, required documentation, and school events — ensuring information is clear, timely, and accessible.
  • Greet and support families who visit the school, ensuring every interaction reflects Statesmen's commitment to warmth, professionalism, and genuine partnership.
  • Maintain and update family contact information in the SIS, ensuring the school can reach families quickly and accurately in any situation.

Compliance & Records Management

  • Ensure all enrollment records comply with DC Public Charter School Board (PCSB), OSSE, and My School DC requirements.
  • Maintain immunization compliance tracking for all enrolled students and follow up on outstanding health documentation in accordance with DC law.
  • Support audit readiness by keeping student records organized, complete, and accessible.
  • Maintain strict confidentiality of all student and family records in accordance with FERPA and school policy.

Special Projects & Operational Support

  • Support school-wide events, including enrollment information nights, back-to-school events, and family orientation sessions.
  • Assist with mailings, communications, and operational projects as assigned by the Director of Operations.
  • Contribute to the continuous improvement of enrollment systems, onboarding processes, and family communication protocols.

Who Must You Be

Required

  • Bachelor's degree in Business Administration, Education, Public Administration, or a related field — or equivalent work experience.
  • Minimum of 2 years of experience in an administrative, operations, or office management role, preferably in a school, nonprofit, or government setting.
  • Strong organizational and data management skills, with demonstrated attention to detail and the ability to maintain accurate records across multiple systems.
  • Excellent interpersonal and communication skills — warm, professional, and effective with families from a wide range of backgrounds and circumstances.
  • Comfortable working in a fast-paced environment, managing competing priorities, and staying calm under pressure.
  • Proficiency in Google Workspace (Docs, Sheets, Gmail, Drive) and basic office technology.
  • Commitment to Statesmen's mission and to the families and communities the school serves.

Preferred

  • Experience working with My School DC, DC-AIMS, or a comparable enrollment or student information system.
  • Familiarity with DC charter school enrollment regulations, PCSB compliance requirements, or OSSE reporting.
  • Experience managing student records in a Student Information System (SIS) such as eSchoolPlus, PowerSchool, or similar platforms.
  • Experience in a K–12 school environment, particularly in an urban or high-need school community.
