Ruekert & Mielke, Inc. is seeking an Administrative Services Supervisor to lead our talented team of Administrative staff. This is an exciting opportunity for an experienced administrative professional who enjoys mentoring others, streamlining workflows, and ensuring operational excellence.


In this role, you’ll supervise and support our Administrative Professionals, ensuring workload balance, process consistency, and high-quality deliverables. GOALS & RESPONSIBILITIES
This position includes, but is not limited to, the following duties and responsibilities:

  • Lead and supervise the team of Administrative Professionals, including hiring, coaching, and performance reviews
  • Balance workloads across the team to ensure efficiency and quality
  • Conduct daily and weekly team meetings to align priorities and share updates
  • Collaborate with leadership to update and create documentation for internal processes
  • Drive process improvements within the Administrative staff
  • Maintain expert knowledge of company systems and ensure accurate records management
  • Oversee master specifications, templates, ensuring accuracy and confidentiality
  • Provide training, guidance, and support to Administrative Assistants
  • Assist management and technical teams with document preparation and administrative tasks
  • Prepare and edit a variety of documents, including legal descriptions, agreements, reports, proposals, specifications, and contracts
  • Organize and assist with a variety of overhead administrative office tasks such as answering phone calls, greeting clients and visitors, and office supply coordination



QUALIFICATIONS & SKILLS

The ideal candidate for this position will possess the following education, experience, and abilities:

  • High School diploma or GED; Associate’s Degree in Administrative Professional, Business Management, or related field preferred
  • Minimum of 7 years experience as an Administrative Assistant or similar role
  • Certification in office administration is a plus
  • Proven experience in a leadership or supervisory capacity
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe
  • Strong organizational skills, attention to detail, and ability to prioritize tasks
  • Excellent written and verbal communication skills
  • Strong problem-solving and decision-making abilities
  • Professional demeanor with the ability to maintain confidentiality
  • Knowledge of engineering or related industry terminology is a plus
