Position Summary

The Receptionist & Office Coordinator is the first face visitors, customers, and vendors see when they walk through our doors. This role blends professional reception with administrative coordination and light executive support — keeping our office welcoming, organized, and operationally smooth. You will be a key connector across multiple departments, our customers, and our leadership team on any given day.

What You'll Do

Front Office & Reception

  • Greet and assist all visitors, customers, and vendors with professionalism and warmth.
  • Answer and direct phone calls on a multi-line phone system; handle general inquiries promptly.
  • Keep the reception area, lobby, and common spaces clean, organized, and visitor ready.
  • Manage incoming and outgoing mail, packages, and deliveries.

Office Coordination

  • Order and maintain inventory of office and kitchen supplies; manage vendor relationships.
  • Coordinate office maintenance and service requests to keep operations running smoothly.
  • Support the business with the handling of confidential and sensitive documents to include filing, scanning, document organization and retention.
  • Maintain calendars for shared conference rooms; assist with meeting logistics and setup.
  • Schedule and track recurring office events, meetings, and staff functions.
  • Draft and distribute flyers, company news letters, internal communications, and notices as requested.

Executive & Event Support

  • Assist executives with scheduling, travel arrangements, and hospitality for customer visits.
  • Coordinate logistics for customer visits, internal events, and company meetings from start to finish; to include creating and sending invitations, arranging for catering and setup, to final goodbyes to ensure a positive guest experience.
  • Support preparation of presentation materials, correspondence, and reports.
  • Help track action items and follow-ups from meetings and events.

 Customer & Vendor Relations

  • Deliver a polished, welcoming experience for every customer and business partner visiting our facility.
  • Serve as a communication liaison between departments, vendors, and visitors.
  • Assist with feedback collection and follow-up communications as directed.


Overall General Responsibilities:

  • Uphold confidentiality, decorum, and professionalism in all interactions.
  • Desire to perform in a receptionist capacity and willingness to perform additional administrative and clerical tasks as assigned.
  • Contribute a positive and professional presence to the company and enhance our office culture.


What You Bring

Required

  • High School Diploma or Equivalent required; Associate degree preferred
  • 2–4 years of administrative, receptionist, or office admin experience
  • Strong proficiency in Microsoft Office Suite: Word, Excel, Outlook, PowerPoint, and Teams
  • Comfortable and self motivated when learning new software and technology (i.e. Canva, Adobe, Vista Create, etc.)
  • Excellent written and verbal communication skills with professional phone and email etiquette
  • Strong organizational and time management skills with a customer-service mindset
  • Comfort with scheduling tools, office systems, and general computer literacy.

Preferred

  • Associate’s degree in business administration or a related field
  • Experience in a manufacturing, industrial, or professional services environment
  • Familiarity with travel booking platforms, expense management tools, or HRIS systems
  • Bilingual (English/Spanish) is a plus.
