The Project Manager is responsible for coordinating the post-sale process from the customer acceptance to the final delivery of the project. This includes managing the functions of planning, organizing, and executing the project to ensure the project is delivered on time and to the highest quality standards. The Project Manager (PM) serves as a central contact person and liaison between sales/customer, design, engineering, take off, procurement, projection, leadership, production, logistics, and/or other stakeholders to meet the customer contract.
Essential Duties and Responsibilities
Project Planning and Scheduling
- The PM, through the guidance of the customer, will create a detailed timeline and schedule for the entire process after customer acceptance of the contract. This includes the entire process of permitting, site/foundation requirements, construction engineering, and post-sale design modifications. The PM will be proactive in handling variables that occur unexpectedly throughout the project.
- The PM identifies possible key project risks and assists in developing plausible solutions to mitigate those risks with the customer and stakeholder of the project. Collaborate with contractors and/or installers to provide solutions, be proactive and maintain positive relationships.
- The PM will communicate timeline/milestones with internal and external stakeholders to ensure the project is on track as per the customer requirements. Participate in production meetings to review the progress of the project and make recommendations.

Client Management and Communication
- The PM will serve as the primary contact for the customer and/or partners from order acceptance through project completion. The PM will be the liaison for the Company and will inform the internal and external stakeholders of any changes to the process and/or contract.
- Ensure the client and appropriate team members understand the parameters of the project. The PM will provide proper documentation through Salesforce and/or other software. This may include plans, schedules, logs, and reports. The PM will assist in project cost tracking, forecasting and monitoring expenses while communicating and assisting customers with their budgetary levels. The PM will ensure the payment application is current and provide information to the accounting department on outstanding invoices. The PM will have difficult conversations with the client regarding outstanding invoices.
- The PM will input client and business information into Salesforce and Visual. The PM enters "date changes" into Visual and Salesforce. Other relevant data such as, but not limited to, client communications, project information and updates to ensure streamlining and accurate information and accountability to internal and external stakeholders.
- The PM will enter all change orders into Salesforce as applicable.
- The PM will assist in business development with existing and potential clients and/or contractors through relationship building.

Vendor and Contractor Coordination
- Collaborate with third parties including contractors, subcontractors, designers, public officials/permitters, and suppliers to ensure the successful execution of the project. Assist in the communication process between the customer and the contractors, subcontractors and vendors to assist the customer in the selection of the appliable contractor/vendor/products.
- Collaborate with the purchasing team to ensure products will be delivered to Timberlyne for the production and fabrication of the project.
- In the pre-shipment process, the PM will collaborate with internal and external stakeholders to ensure the adherence to quality and engineering standards are met.
- In the post-shipment process, the PM assists in nonconformances of the products and services and will assist in the corrective action process and coordinate with internal and external stakeholders to fulfill corrective action.
Qualifications
- The PM needs to understand the construction industry and/or related field. Be able to understand engineering and design concepts, production and fabrication. Knowledge of heavy timber framing is essential including their connections.
- The PM must be proficient in Salesforce and/or other software packages including scheduling tools.
- Must understand permitting and be able to research/understand local, state and federal regulations, building codes, safety standards, and environmental regulations.
- The PM needs to have a business acumen including budgeting, forecasting, costs of goods sold, labor expenses/efficiencies. The PM must understand workflow analysis to ensure the projects meet the timeline and customer's expectations.
- The PM must have the ability to manage multiple projects simultaneously, ensuring that timelines, budgets, quality assurance and other expectations are met. The PM must be organized, detail oriented, with time management skills and the ability to prioritize processes and projects.
- The PM must have excellent communication skills, including the ability to have difficult and adaptive conversations with internal and external stakeholders. Be proactive in communication and can influence others for win-win solutions.
- The PM must demonstrate analytical skills to assess project risks, perform cost benefit analyses and make data-driven decisions to keep projects on track including time and budget.
- The PM must have strong problem solving and critical thinking skills and be able to demonstrate adaptive communication skills based upon the level of knowledge from the client. The PM must have excellent conflict resolution skills.
- The PM must have strong emotional intelligence including self-awareness and understand the importance of continuous improvement.
- Be proficient in Microsoft Office 365 products and be able to provide effective presentations to internal and external stakeholders.
