Job Overview

We are seeking a reliable and organised Project Assistant to join our team permanently. This role provides essential administrative and coordination support to project managers and project teams to ensure projects run smoothly, on time, and within scope. The successful candidate will be proactive, detail-oriented, and comfortable working across multiple stakeholders in a fast-paced environment.

Key Responsibilities

  • Project support: Assist project managers with day-to-day project activities, including preparing project documentation, maintaining action logs, and tracking deliverables and milestones.

  • Scheduling and coordination: Coordinate meetings, workshops, and project events; prepare agendas, take minutes, and follow up on actions to ensure timely completion.

  • Communication: Serve as a point of contact for project queries; distribute updates, status reports, and key documentation to stakeholders in a clear and timely manner.

  • Document control: Maintain organised project files (electronic and paper), version control, and ensure compliance with document management procedures.

  • Reporting: Support the preparation of project progress reports, dashboards, and basic data analysis to highlight risks, issues, and upcoming tasks.

  • Risk and issue tracking: Log and monitor project risks, issues, and dependencies; escalate appropriately and support owners with resolution activities.

  • Procurement and finance support: Assist with purchase order requests, invoice tracking, and budget monitoring in line with project procedures.

  • Process improvement: Identify opportunities to streamline administrative processes and contribute to best-practice approaches within the project team.

  • Ad hoc tasks: Provide general administrative support as required, including travel arrangements, expense processing, and onboarding for project resources.

Requirements

  • 1-3 years of experience supporting projects or working in an administrative/project coordination role.

  • Good organisational skills with the ability to manage competing priorities and meet deadlines.

  • Strong written and verbal communication skills with experience producing clear minutes, reports, and email communications.

  • Proficient with MS Office (Word, Excel, PowerPoint) and comfortable using collaboration tools (e.g. Teams, SharePoint); experience with project management tools (e.g. MS Project, Jira, Asana) is an advantage.

  • Excellent attention to detail and a methodical approach to document control and data entry.

  • Ability to work independently and as part of a team, showing initiative and a positive, solution-focused attitude.

  • Educated to A-level or equivalent; a project management qualification
