Join a vibrant senior living community as a Business Office Manager, where your leadership and organizational skills will create a warm, welcoming environment for residents and staff alike. In this dynamic role, you will oversee the administrative operations and ensure smooth daily functioning of the community’s business office. Your proactive approach will foster excellent communication, streamline office procedures, and support the overall mission of enhancing residents’ quality of life through efficient management and compassionate service. Responsibilities Maximizes office productivity through proficient use of appropriate software applications, business systems, and administrative processes. Maintains state survey readiness for business office functions. Manages the resident move in and move out process including contracts and financial and administrative records. Manages the resident billing and rent collection process. Manages vendors including timely invoice processing. Manages front desk reception staff coverage and provides additional coverage as needed by answering telephones, greeting residents and visitors, directing inquiries. Maintains office supply inventory, coordinates purchasing of routine office supplies, and maintains positive working relationships with vendors. Maintains positive and professional relationships with employees, residents, families, visitors, volunteers, vendors, and community partners while providing exceptional customer service. Performs other duties as assigned. Qualifications Two (2) years of progressively responsible administrative or office management experience required; experience in healthcare, senior living, or a customer service environment preferred. Strong organizational, time management, and multitasking skills with the ability to prioritize work and meet deadlines. Excellent verbal, written, and interpersonal communication skills with the ability to provide exceptional customer service. Demonstrated ability to maintain confidentiality, exercise sound judgment, and handle sensitive information with professionalism. Proficiency in Microsoft Office applications and the ability to learn HRIS, payroll, resident management, and other organizational software systems. Strong attention to detail with the ability to maintain accurate records, prepare reports, and identify discrepancies. Ability to work independently while collaborating effectively with employees, residents, families, vendors, and other departments.
