POSITION SUMMARY:

This office position provides administrative support for the President and Vice President of Krapf Coaches, Inc. Administers various programs in support of the Operations of KCI.


ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Assist the President and Vice President in providing positive representation of the Company
  • Process payroll, including entry of work hours for employees to ensure timely and accurate processing
  • Create and maintain the monthly On Call calendar to ensure complete coverage 24 hours/day
  • Answer phones, route calls, take messages, and assist walk-in customers as needed
  • Administer employee programs and provide detailed tracking
  • Perform daily administrative functions, including report creation, reconciliation of monthly invoices and cash receipts
  • Create and maintain employee files and assist with employee changes
  • Coordinates travel arrangements
  • Assists with contract bids and special projects as assigned by management
  • Promote charter sales by interacting on internet networking sites
  • Determine pricing within company guidelines and prepare quotes for charter trips, including multi-day trips
  • Sell and confirm charter orders
  • Data enter charter sales and submit sales list to Corporate for generation of charter sales paperwork
  • Sell and process casino group trips and retail trips
  • Process credit card payments and credits
  • Monitor credit accounts to ensure payments are made in a timely fashion
  • Data enter payments and deposits into charter orders
  • Clear the credit card machine and summarize deposits in a timely manner
  • Answer general phone calls and forward them appropriately
  • Provide general clerical support to charter office staff as needed
  • Prospect for new business by way of cold calling on the phone
  • Provides support in dispatch as needed
  • Perform other job duties as assigned

QUALIFICATIONS:

  • Minimum of 3 years direct work experience required
  • Ability to perform basic office tasks while using office equipment and transportation related software
  • Proficient use of all Microsoft Office programs with strong emphasis working with Word and Excel
  • Strong attention to detail and the ability to maintain confidentiality
  • Strong customer service skills especially the ability to remain calm under demanding and stressful conditions


EDUCATION:

  • High school education or equivalent required. Bachelor degree preferred.
