About the role
The Project Coordinator supports the IKE Deployment team in delivering interactive digital kiosks in public rights-of-way across multiple U.S. markets. Working under the direction of Project Managers, the Coordinator keeps projects moving by following up with vendors, utilities, and city agencies, tracking changes and open items, and keeping SiteTracker and project documentation accurate and current.
The right person is organized, proactive, and interested in growing into project management. You will learn how kiosks get sited, permitted, powered, built, and activated while supporting the PMs who run those projects day to day. This role is based in our West Hollywood office in Los Angeles and is on-site daily, with the opportunity to work remotely one day a week after six months of employment.
What you'll do
- Support Project Managers across the deployment lifecycle, from siting and permitting through construction, activation, and closeout
- Maintain project schedules, milestone tracking, and deployment pipeline data in SiteTracker, keeping records accurate and current across all assigned markets
- Track permit applications and encroachment submittals prepared by our Civil Engineering partners, monitoring review cycles, comments, and resubmittals through approval and supporting where needed
- Track utility coordination and power make-ready activities led by our Civil Engineering partners, following up on open items and flagging delays to the PM
- Support vendor management, including onboarding, scheduling, follow-up, and performance tracking for contractors, electricians, and suppliers
- Coordinate with fabrication and logistics on kiosk production schedules, shipping, and delivery to market.
- Support contract administration, including scope of work creation, purchase orders, change orders, and invoice processing and approvals
- Assist with project budget tracking, cost reporting, and forecasting
- Coordinate project meetings, prepare meeting agendas and meeting minutes, capture decisions and action items, and maintain project documentation
- Prepare recurring status reports and maintain dashboards for internal stakeholders and city partners
- Maintain punch lists through construction and activation and track outstanding items to closeout
- Coordinate communications across Development, Design, Operations, Finance, consultants, contractors, and city stakeholders
- Contribute to improving deployment processes, templates, and documentation standards
- Travel occasionally according to business needs, including field visits and pre-construction meetings
Qualifications
Required
- 2 to 3 years of experience supporting construction, infrastructure, engineering, development, or project management teams
- Strong organizational and time management skills with the ability to manage multiple priorities simultaneously
- Excellent written, verbal, and interpersonal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
- Experience with SiteTracker, Salesforce, or a similar project tracking system, or the aptitude to learn one quickly
- Strong attention to detail and good documentation habits
Preferred
- Experience with public right-of-way work, municipal permitting, or utility coordination
- Exposure to small cell, fiber, digital signage, LED, electrical, or streetscape construction
- Familiarity with construction drawings, procurement, and contract administration
- Experience with budgeting, invoice processing, purchase orders, and project financial tracking
- Experience coordinating multiple external stakeholders, including city agencies, consultants, contractors, and vendors
