Position Summary: The Executive Assistant will support the Director of Production by overseeing administrative systems, providing office services, and managing projects and calendars.


Experience and Knowledge Required:

  • Fulfill the character qualifications of a deacon as taught in Scripture
  • Exceptional interpersonal, verbal, writing, grammar, and organizational skills
  • Ability to work in a multi-task environment
  • Strong administrative, analysis, and observation abilities
  • Quick learner, hardworking, well-organized, detail oriented, adaptable, and reliable
  • Ability to work with people individually and as a team, customer service minded, able to lead others, and demonstrate a healthy assertiveness when necessary
  • Ability to independently manage projects
  • Excellent Microsoft Office Suite and Outlook skills
  • Schedule and task-focused with the ability to prioritize and complete duties using tracking software, lists, etc.
  • Ability to anticipate needs and respond to changes creatively, quickly, and effectively
  • Three or more years of office administrative supervisory or lead experience
  • At least two years of college-level coursework in business is preferred

 

Duties and Responsibilities:

  • Provide the Director with daily administrative support
  • Participate in weekly staff meetings
  • Responsible for managing multiple tasks, ensuring they are delivered on time and with excellence
  • Collaborate with team members as necessary to ensure the successful outcome of tasks
  • Manage meetings, including scheduling and coordinating, preparation, taking notes, and maintaining calendar.
  • Receive, screen, prioritize, channel, and facilitate communications
  • Maintain comprehensive and accurate records, including records relating to department budgets
  • Take initiative on requests and inquiries of an administrative nature
  • Perform research and project management for a variety of strategic projects
  • Assist in the development of policies and procedures for new programs when requested
  • Maintain awareness of overall department goals and programs and the Administrative Director’s related responsibilities
  • Assist with expense/budget tracking and reimbursements
  • Manage all travel details and arrangements
  • Supervise department’s Administrative Assistant
  • Maintain confidential information
  • All other duties as assigned
