Job Description: Development Assistant- Operational Support 

Summary Job Description

The Development Assistant plays a critical role in supporting the fundraising efforts of Spectrum360, ensuring the success of key initiatives that support the organization’s mission.

This position will provide essential administrative and operational support to help achieve the department’s goals and objectives, including assisting in the planning and execution of fundraising activities, donor engagement, database management, and event coordination. The coordinator will work closely with the Director of Development to assist in executing all aspects of the Fundraising/Development Strategic Plan. The ideal candidate will bring strong organizational skills, attention to detail, and a commitment to advancing the mission of Spectrum360.

Qualifications

  • Bachelor’s degree or equivalent experience in nonprofit management, business, or related field.

  • Experience working with donor databases/CRM systems, such as DonorPerfect.

  • Detail-oriented with a focus on accuracy and data integrity.

  • Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.

  • Excellent written and verbal communication skills

  • Excellent time management skills

  • A high degree of flexibility

  • Excellent follow-up and follow-through 

  • Strong computer skills: Google Suite, Excel, Word, PowerPoint

  • Ability to work collaboratively in a team environment.

Position Responsibilities:

Donor Management and Stewardship:

  • Maintain and update donor databases (e.g., DonorPerfect). Regularly audit and update donor records for accuracy, completeness, and consistency.

  • Track donor contributions, issue acknowledgment letters, and ensure timely thank-you communications.

  • Assist in researching and identifying prospective donors and funding opportunities.

  • Generate and distribute monthly, quarterly, and annual reports on donor activity, revenue, and other key metrics.

  • Assist in preparing donor lists, financial summaries, and reports. 


Special Event Coordination:

  • Provide logistical support for fundraising events, including donor receptions, galas, and community outreach events.

  • Handle event registration, guest list management, and onsite support.

  • Handle event silent auctions, both online and in person. 

  • Collaborate with marketing to develop promotional materials and manage event communications.

Fundraising Campaigns:

  • Support and assist the Director of Development and Volunteers in the execution of the Capital Campaign, including maintaining donor records, coordination of materials, scheduling meetings, organizing meeting minutes, etc. 

  • Support the execution of annual giving campaigns, including direct mail, online fundraising, and peer-to-peer campaigns.

  • Coordinate with external vendors for mailings, print materials, and other campaign-related needs.

Grant Support:

  • Assist with grant applications, proposals, and reporting.

  • Track submission deadlines, organize materials, and ensure timely submissions.

Communications:

  • Assist in preparing donor newsletters, annual reports, and other communications.

  • Manage and update the development section of the organization’s website.

  • Support social media outreach related to fundraising initiatives.

Volunteer Coordination:

  • Assist with recruiting, training, and managing volunteers for fundraising events and activities.

Administrative Support:

  • Maintain and organize development department files, both digital and physical.

  • Provide general administrative support to the Development Director, including scheduling meetings, preparing materials, and conducting research.

Policies, Procedures, Evaluations

  • Comply with all policies and procedures of Spectrum360.

  • Reports to the Director of Development. 


Travel

  • Primary office in West Orange with regular travel to/from Livingston/Verona/Whippany

  • Limited travel to off-site meetings with donors, volunteers, and around Northern NJ

  • Must have reliable transportation.
