Position Overview: 

The Facilities and Operations Manager is responsible for coordinating the day-to-day facility and operational needs of Charles River Recovery to support a safe, functional, and well-maintained environment for patients, staff, and visitors. This position oversees facility-related vendors and service providers, coordinates repairs and work orders, obtains proposals for facility projects, supervises transportation staff, and serves as a primary point of contact for building-related matters.

The Facilities and Operations Manager also supports life safety and emergency preparedness activities, including conducting required fire drills, maintaining relationships with local fire and building officials, and coordinating responses to facility emergencies. The position works closely with executive leadership to identify facility needs, obtain competitive proposals, coordinate approved projects, and ensure services are completed appropriately and timely.

Specific Responsibilities:


    • Day-to-day facility operations and vendor coordination
    • Receiving, tracking and closing facility/vendor work orders
    • Scheduling contractors and ensuring site access
    • Obtaining competitive quotes for repairs and capital improvements
    • Presenting quotes/recommendations to executive leadership
    • Following approved projects through completion
    • Oversight of housekeeping and kitchen vendor performance
    • Coordination with IT, telecommunications, copier/eFax and similar vendors
    • Supervision of the facility drivers, including schedules, monthly supervision and annual evaluations
    • Monthly fire drills and required documentation
    • Coordination with the Weston Fire Department and Building Department
    • Facility inspections and corrective-action follow-up
    • Emergency preparedness activities assigned to Facilities
    • Responsible for ensuring completion of environment of care documentation
    • After-hours/on-call coordination for building emergencies and AOC rotation
    • Generator/fuel/service coordination
    • Maintaining vendor records, inspection reports, service records and preventive-maintenance documentation
    • Supporting Joint Commission, BSAS, DPH and other regulatory surveys involving the physical environment 
    • Other duties as assigned by Leadership


Minimum Qualifications:

At least 1–2 years of supervisory experience, including employee scheduling, performance management, and staff supervision.   Experience with fire/life safety, emergency preparedness, inspections, and coordination with local fire, building, or other regulatory officialsstrongly preferred.                                       


Work Environment: This job operates in both office and maintenance settings and is regularly exposed to dust, odors, oil, fumes and noise.  

Physical Demands: While performing the duties of this position, the employee is regularly required to talk or hear. The employee frequently is required to use hands to finger, handle or feel objects, tools or controls. The employee is regularly required to stand; walk; sit; reach with hands and arms; climb or balance; and stoop, kneel, crouch or crawl. The employee must regularly lift and/or move objects up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision and the ability to adjust focus.       

Travel: The only travel required is to the facility and may require after hours phone calls and/or site-visits.
