Westwood Administration - East

Position Summary / Career Interest:

This position provides support for the administrative office of the Medical Oncology division as well as support to the Physicians. Provides accuracy in creating, maintaining, updating, and syncing multiple non-patient schedules across various platforms. Oversight of multiple scheduling platforms as a key administrator who utilizes scheduling information to assist with creating various schedules for learners, payroll, physician tasks, and projects as needed. Provides high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Duties include general clerical, receptionist, and project-based work. Must project a professional company image through in-person and phone interaction.

Responsibilities and Essential Job Functions
  • Manages daily operation of the office.
  • Supervise/monitor the secretarial effort of the division/section to maintain adequate secretarial assistance for all faculty in the division (including evaluation of support personnel).
  • Gathers data and prepares divisional reports.
  • Executes the transmission of biweekly payroll for the division/section.
  • Maintains budgetary records for the division.
  • Plans, schedules, and supervises all arrangements for divisional meetings including conferences, seminars, site visits, and other divisional functions.
  • Proofread and edit all manuscripts documents generated by the Section Chief/Program Director and coordinate submission of abstracts, manuscripts and grant proposal/applications to appropriate agencies. Prepare slide/poster presentations.
  • Prepare and publish monthly call schedule for the Section and weekly call schedule for Section Chief/Program Director.
  • Evaluate need for office supplies for Sections and purchasing of said supplies in a cost effective manner with maintenance of books for office expenses.
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience
  • Two years of college
  • Experience may be substituted for education on a year for year basis

Preferred Education and Experience
  • Bachelors Degree
  • 2 or more years supervisory experience
  • 2 or more years of administrative experience including one year with a health care organization
