We are seeking a Medical Office Coordinator who will offer friendly, courteous, and confidential assistance to ensure every patient has an outstanding customer service experience while at Johns Hopkins. Maintains accurate information on each patient to facilitate the patient encounter. Uses automated systems to expedite patient office appointment pre-registration, check-in, and checkout. Works collaboratively with others in a team environment.


Specific Duties & Responsibilities

  • Monitors and coordinates clinic flow. Exhibits awareness of patient wait times and responds to physician and staff needs to maintain a smoothly running clinic experience for providers, staff, and patients.
  • Maintains familiarity with various types of medical insurance to properly schedule patients and answer patient questions.
  • Verifies and enters pre-registration and insurance information into the electronic medical record system. Obtains and/or verifies patient's demographic data by phone or in person.
  • Registers patients for clinical appointments using the electronic medical record system.
  • Collects time of service payments, issues receipts, and prepares end-of-day reconciliation.
  • Discusses patient charges, if appropriate, with patients and/or patients' families.
  • Refers patients to the appropriate office if financial counseling is necessary.
  • Coordinates visits either within the office or between other offices and/or departments.
  • Schedules patients for laboratory tests, medical examinations, and procedures.
  • May obtain pre-certifications as required by patients' health care insurers or managed care providers.
  • Demonstrates awareness of limitations of institutional resources and seeks to maximize physician scheduling within this context. Proactively seeks to schedule/reschedule patients for efficient utilization of resources (e.g., backfill to cover cancellations or add urgent appointments).
  • Resolves any schedule conflicts.
  • Reschedules patients when the provider's clinic schedule changes.
  • Fills vacancies due to cancellations.
  • Answers phones and monitors the electronic medical record system’s inbasket messages.
  • Screens patient calls and medical issues. Provides routine information and answers patient questions where appropriate and determines if physician's response is required.
  • Handles routine in-basket requests and forwards other messages to the appropriate resource. Documents appropriately in the system.
  • Responds to requests for completion of various medical forms for patients (MVA forms, disability forms, workers’ compensation forms, etc.)
  • Assists with back-office duties as needed to ensure consistent patient flow.
  • Provides primary surgical coordination.
  • Works with staff to develop, implement, and manage systems to ensure all required components are completed for surgical patients, i.e., consents, history and physical, orders, etc.
  • Reviews with patients all surgery instructions and necessary forms for completion.
  • Reviews with patients all insurance requirements before surgery and works with the patient and billing office to ensure all proper financial arrangements have been made before surgery.
  • Collects payments for surgeries.
  • Educates patients on what to expect before, during and after eye surgery.
  • Ensures that patient questions have been answered by the appropriate staff.
  • Schedules surgery utilizing the appropriate on-line system.
  • Coordinates details for surgery, including scheduling pre-ops, immediate post-op appointments, and arrival time for surgery and follows up on post-op appointments to ensure continuity of postoperative care.
  • Operates a desktop computer to access e-mail, electronic calendars, and other basic office support software.
  • Performs other duties as required.


Minimum Qualifications
  • High school diploma or graduation equivalent.
  • Two years administrative experience.
  • Additional education may substitute for one year of experience to the extent permitted by the JHU equivalency formula.
