Summary: 

Provide administrative support to directors within the Retention organization. Primary responsibilities include managing communications and scheduling. This role is typically assigned to support a specific director but will work with the other Retention administrators cross-functionally as needed. This role requires working in office as needed, on a regular basis. Some travel required, and a flexible schedule is a must have.

 

Schedule: Monday - Friday 9:00am - 6:00pm CST 

 

Candidates must reside within 30 miles of Wichita, KS and be available for onsite work as needed.

 

Primary responsibilities include, but are not limited to:

  • Calendar management and scheduling coordination.
  • Prioritizing emails and phone calls.
  • Attendance at Director’s team meetings to facilitate content and capture meeting notes.
  • Assist Director with managing deadlines and compiling content and responses.
  • Maintain Director’s leadership PTO calendars.
  • Assist Director and department with establishing and creating recognition communications.
  • Assist Director and other department leaders with coordination of initiative meetings and feedback sessions, including capturing meeting notes, and managing follow-up items.
  • Assist with department communications, including managing submission deadlines.
  • Assist with contests and incentives, including communications and determining results.  
  • Manage meeting logistics as needed, both virtual and in person.
  • Manage expense reports.
  • Coordinate travel plans.
  • Other specific duties as assigned by Director.

 

Education/Certification:

  • High school diploma or equivalent

 

Experience:

  • Minimum of two years prior administrative experience. 

 

Skills:

  • Excellent time management, planning, and proactive thinking skills.
  • Self-motivated with a professional attitude.
  • Intermediate to advanced computer skills. 
  • Proficiency with Microsoft Office.
  • Proficiency with calendar management.
  • Proficiency facilitating virtual and in person meetings.
  • Ability to write professional communications.
  • Ability to capture clear and concise notes.
  • Ability to effectively deal with problem situations involving both personnel and processes.
  • Ability to work with cross-functional teams.
  • Ability to perform duties in a dynamic, fast-paced work environment with frequent changes.
  • Ability to adapt to changes in the work environment, delays or unexpected events; manage competing demands; change approach or method to best fit the situation.
  • Ability to concentrate on a task over time without being distracted.
  • Ability to apply common sense understanding and carry out instructions in written, oral, or diagram form.
  • Ability to maintain composure, keep emotions in check, and avoid aggressive behavior, even in very difficult situations.
  • Ability to work with confidential information regarding customer accounts and employee files.

 

Physical Demands:

  • While performing the duties of this job, the employee is occasionally required to stand; walk; sit; twist; use hands to handle; push; pull or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; and talk or hear.
  • The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.

Pay and Benefits Disclosure:

The pay range for this role is $16.66 - $27.76 an hour and is based on experience and qualifications. Employees accrue up to 120 hours in their first year. Your accrual rate increases after your first year. We also offer 6 paid holidays.
