Within the spirit of ā€œMaking People’s Dreams Come Trueā€, this position is responsible for assisting sales representatives, home buyers, and related entities with the closing process for the purchase of a dream home taking great pride in attention to detail, friendly interaction with others, and timeliness of work, while striving to learn and adapt to change with positivity. Being customer centered, this position delivers a closing experience with professionalism and enthusiasm that is second to none. This role prepares, presents, and completes closings both in person and by mail or electronic means while completing necessary administrative and organizational duties and tasks related to the closing process steps. This position is proficient in the closing role and is given additional specialized responsibilities for this Department. This role creates a lasting impression of The Villages, by providing the ultimate closing experience for all involved. These duties are accomplished while delivering Raving Fans customer service to both internal and external customers.

Responsibilities:

  • Prepare folders for all New Home closings for financing and cash buyers.
  • Schedule all closing details, and new home orientation times directly with purchasers in coordination with the builders.
  • Communicate and is a liaison with other related departments and entities to ensure a seamless closing process (i.e. accounting, contracts, builders, internal partners).
  • Organize and update scheduling calendar for builder’s orientations and closings.
  • Update payment changes as it pertains to final closing funds.
  • Answer customer questions and requests regarding new home closing documents and assist them in completing steps of the process as needed.
  • Utilize office computer, office equipment (copier, fax, etc.) and a host of other software applications, including Microsoft Office Suite and subsequent contract processing tools and software.
  • Attend special meetings, educational sessions and assist leadership with training team members when asked.
  • Train new New Home Closing Schedulers and maintain Cash Closing Manual.
  • Maintain and verify Cash Program Data and Cash Input Program.
  • Maintain Closing Service Coordinator Call Log and Calendar.
  • Partner with Closing Service Coordinator in elevating the customer’s experience from contract to close.
  • All other duties as assigned.

Education & Experience Requirements:

  • High school diploma and/or GED equivalent; and a minimum of one (1) year experience in a fast‐paced, detail‐oriented professional office environment where customer service, teamwork, and positive communication skills were keys to success.
  • This position requires strong data entry and computer skills along with the ability to multitask, set priorities and manage time effectively.
  • Experience in customer service, hospitality, forward facing office administration or related area preferred.
  • Based on the demand of daily operations, must be able to demonstrate flexibility in work assignments and schedule.
  • Must be proficient with math calculations, highly organized, and can function well in a work environment where the workflow volume can change throughout the day.
  • Must be proficient in Microsoft Office Suite.
  • Prior experience working with AS400/ I‐series/Lasso or other CRM programs a plus.
