Summary

The Purchasing Coordinator supports efficient warehouse and procurement operations by receiving, inspecting, storing, issuing, and delivering materials, supplies, and equipment. This position maintains accurate inventory records, coordinates with vendors, supports shipping and logistics activities, and ensures warehouse operations are conducted safely, efficiently, and in alignment with organizational policies and values.

Essential Duties and Responsibilities (May include but are not limited to the following. Other duties may be assigned).

  • Foster a collaborative, respectful, and safety-focused work environment that aligns with organizational mission, values, and management objectives.
  • Receive and inspect incoming shipments; verify contents against purchase orders and packing slips; identify, document, and resolve discrepancies or damage.
  • Maintain accurate physical inventory through labeling, tracking, inspection, and documentation of asset location and condition.
  • Produce quarterly inventory reports that validate material location, reconcile quantities, and confirm accuracy for materials maintained internally and by contractors.
  • Process and fulfill authorized departmental requisitions; distribute and deliver materials and equipment to designated locations.
  • Communicate with vendors regarding backorders, shipping discrepancies, damaged goods, returns, and order expediting.
  • Order, receive, stock, assemble (when required), and distribute a wide variety of supplies, equipment, and materials.
  • Maintain accurate computerized and manual records related to purchasing, receiving, inventory control, and storage.
  • Package, document, and prepare materials for shipment via common carriers (e.g., UPS, FedEx).
  • Operate warehouse and office equipment including forklifts, pallet jacks, vehicles, hand and power tools, and computer systems.
  • Assist with surplus property handling, transportation support, departmental relocations, building projects, and maintenance of pooled vehicles.
  • Perform other duties and support special projects as assigned.

Qualifications

  • High school diploma or GED required.
  • Prior warehouse, inventory, or purchasing experience preferred but not required.


Knowledge of:

Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to communicate with vendors and/or employees.



Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to calculate figures and amounts such as discounts, proportions percentages, area, circumference, and volume.

 

Computer Operations: Proficient personal computer skills including electronic mail, Internet, record keeping, routine database activity, word processing, spreadsheet, graphics etc.



Ability to:

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

Planning/Organization: Handles multiple tasks simultaneously and work under pressure of deadlines.

 

Certificates/Licenses

Must have and maintain possession of a valid driver’s license. 

 

Must have the ability to obtain (within 30 days of start date) and maintain forklift safety certification.

 

Education and/or Experience

Education: High School diploma or General Educational Development (GED) certificate.  Knowledge of warehouse principles and practices is desirable but not required.



Experience: One to three months’ related experience and/or training preferred.
