This is more than a scheduling or administrative role. You’ll be the operational problem-solver for your center—helping staff stay on track, managing schedules and supplies, troubleshooting day-to-day issues, coordinating repairs, supporting systems and processes, and making sure the details don’t fall through the cracks. What You’ll Do: Keep the Day Moving Manage daily staff and client schedules, including call-outs, late arrivals, early departures, time-off requests, and cancellations. Monitor staff hours and scheduling to ensure company guidelines and minimum guaranteed hours are met. Help optimize schedules and staffing to keep the center operating efficiently. Answer inbound calls and make sure questions and requests are followed through to resolution. Be the Center's Problem-Solver Identify operational issues and take initiative to find solutions. Serve as a resource for staff regarding insurance, scheduling, service delivery, and clinician billing questions. Understand TBC policies and procedures and communicate them clearly to employees and families. Work cross-functionally with Clinical, HR, Admissions, Billing, and Operations teams to resolve issues and keep things moving. Be the Go-To for Systems & Technology Provide CentralReach support related to scheduling, documentation, and system questions. Work with Microsoft Office 365, Excel, Zoho CRM, Zoho Projects, HRIS platforms, and other technology used to support center operations. Maintain accurate electronic asset records and coordinate equipment transfers, repairs, and other technology needs. Use technology and data to improve organization, efficiency, and follow-through. Own the Details Audit session notes and timesheets for accuracy. Assist with billing as assigned. Manage center supply ordering and inventory. Track staff hours, cancellations, time off, and other scheduling details. Maintain accurate operational records and documentation. Keep the Center Running Identify and assess facility repair and maintenance needs. Coordinate with vendors and contractors to resolve facility issues. Obtain three bids for work whenever possible, unless an existing third-party agreement is in place. Coordinate repairs and maintenance of center and facility equipment and track completion. What We’re Looking For: Education & Certifications Bachelor's degree in Business, Applied Behavior Analysis, Psychology, Healthcare Administration, or a related field preferred/required. Registered Behavior Technician (RBT) certification. CPR certification. Ability to successfully pass required background checks. Experience Previous operations experience in an ABA center, healthcare, medical, or similarly fast-paced service environment. Experience working with insurance company portals. Experience with CentralReach or similar healthcare/EHR platforms. Experience with HRIS and business management systems. Technology Experience with Microsoft Office 365, including SharePoint Excel, Word, Forms, List, and Planner. Experience with CentralReach, Zoho CRM, Zoho Projects, and Paycom. Strong Excel skills and comfort working with data, spreadsheets, and operational reports. Strong overall technology skills and the ability to quickly learn new systems and software.
