POSITION SUMMARY:

Under the direction and guidance of the Senior Director of Food Services and consistent with the mission of the YMCA and policies and guidelines of the YMCA of Southeastern NC, the Food Service Coordinator is responsible for assisting the Senior Director of Food Services with oversight of the YMCA of SENC’s food programs. The Food Service Coordinator will assist the Senior Director of Food Services to ensure the YMCA is a sponsor for both SFSP and CACFP and have the additional responsibility of ensuring all reporting, documentation, claim submission, and eligibility requirements remain in good standing. As a new position, the Food Service Coordinator will need to have the ability to adapt job responsibilities, oversight, and have a creative vision so that this position can grow in the future as we paint a picture of what it will look like to grow our food programs and the Y’s ability to 

help feed more and more children.


ESSENTIAL FUNCTIONS:

  • Support the successful operation and continued compliance of the CACFP and SFSP sponsorships, including assisting with meal counts, claims, applications, required training, workshops, and conferences.
  • Coordinate food ordering and distribution for non-claiming sites by using DAXKO enrollment data, preparing shared-food inventory, and updating weekly pull charts for claiming and non-claiming sites ahead of Monday pickups.
  • Manage CACFP and SFSP shelf-stable food inventory and returns, including sorting share-table items and coordinating delivery or pickup with community partners.
  • Ensure accurate and timely CACFP reporting by verifying weekly attendance and meal-count forms, recording site data in Excel, following up with affiliated site coordinators, and filing documentation on the YMCA server and Microsoft Teams by Wednesday each week.
  • Keep participating sites prepared and well supplied by maintaining meal-count sheets, menus, labor sheets, bulk-delivery receipts, and current fire and sanitation reports for CACFP afterschool sites.
  • Help lead the operation of SFSP rural non-congregate meal-distribution sites, including preparing and loading vans and supporting all aspects of meal distribution.
  • Conduct CACFP and SFSP site monitoring visits in accordance with state requirements and department schedules; maintain an accurate site-review database; and upload completed reviews to SharePoint for second-level review within two days.
  • Support staff development by assisting with training sessions, participating in required Youth Services staff meetings, and collaborating with the Senior Director of Food Services and site teams.
  • Contribute ideas and hands-on support to expand food programs beyond afterschool and summer camp services.
  • Adapt to emerging program needs, complete additional duties assigned by the Senior Director of Food Services, and actively support and participate in the YMCA Annual Campaign

Requirements

QUALIFICATIONS:

  1. One year’s experience with the Child and Adult Care Food Program and/or Summer Food Service Program in an administrative capacity.
  2. At least 21 years of age and / or training significant for the YMCA program.
  3. CPR, First Aid, AED certifications within 30 days of hire date.
  4. Three years experience working with afterschool and summer camp programs in a developmental setting preferred. Supervisory experience is a plus.
  5. Ability to work well with people and a sensitivity to the needs of children and families.
  6. Computer skills and knowledge of windows, excel, adobe and word at an intermediate or advanced level.
  7. Ability to correctly and effectively communicate in written and oral English.


PHYSICAL DEMANDS:

Ability to plan, lead and participate in activities. Be able to physically lift and move boxes that may weigh 20+ pounds on a regular basis. 



YMCA SAFETY REQUIREMENTS:
CPR & First Aid – Must be able to complete and maintain certification in CPR and First Aid; able to assist individuals in need until professional help arrives.

Emergency Response – Ability to quickly identify emergency situations (medical, fire, environmental, etc.) and respond appropriately following established procedures.

Incident Management – Required to report all safety incidents and hazards immediately and accurately to supervisors.

Safe Environment – Commitment to maintaining a safe, clean, and hazard-free environment for all staff, members, and participants.

Physical Readiness – Must be able to perform physical tasks related to safety, including assisting individuals of various ages and physical abilities.

Compliance – Follow all YMCA safety protocols, OSHA standards, and state/local regulations as applicable.
