This position is responsible for being the first point of contact for all members and guests at the training site.  This position requires the performance of clerical duties in an office environment that may include typing, filing, scheduling, record keeping, maintaining files and the discretion to work with confidential and sensitive information.

Essential Duties/Responsibilities:

  • Answers all incoming calls, greets members and guests, determines their needs, and directs them to the proper person or location.
  • Accepts applications and money orders.
  • Assembles application packets.
  • Processes requests for application packets; enters into member tracking and distribute requested packet to applicant/s.
  • Assists in loading funds for member cafeteria cards.
  • Provides weekly class schedule to equipment checkout for reference purposes.
  • Relays class and equipment reservation cancellations to appropriate instructor, facilitator, and administrator.
  • Logs member phone calls in member tracking.
  • Distributes mail twice daily to employees throughout the building.
  • Provides clerical assistance to others as requested.
  • Provides backup coverage in the equipment checkout room.
  • Performs other related duties as assigned.

Required Skills/Technical Knowledge:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Familiar with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
  • Must be able to work in a standard office environment operating standard office equipment such as, but not limited to, a keyboard, copier, and telephone.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Integrity and confidentiality are a must.
  • Exhibit professionalism and a positive attitude.
  • Exhibit critical thinking and problem-solving skills.
  • Ability to adhere to Operating Engineers Local 150 Apprenticeship Fund policies and procedures.
  • Ability to multi-task.
  • Ability to work independently.

Education and Experience:

  • High school diploma, or completion of G.E.D. required.
  • 3+ years customer service experience preferred.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift or move up to 25 pounds at times.
