Purpose: Responsible for processing all release of information requests in a timely and efficient manner ensuring accuracy and providing customers with the highest quality product and customer service.

Essential Duties/Responsibilities: 

  • Receives, sorts, and distributes requests received in the department in an accurate and timely manner in accordance with department work assignments.
  • Accurately identifies requests that are urgent in nature and prioritizes appropriately.
  • Validates requests and authorizations for release of medical information according to established procedures and in accordance with Federal and State regulations and guidelines.
  • Works within scope of position.
  • Determines records to be released by reviewing requestor information in accordance with HIPAA guidelines and obtaining pertinent patient data from various sources, including electronic, off-site, or physical records that match patient request.  Logs disclosure of information in the patient’s Health Record according to department guidelines.
  • Generates invoice and collects payment for billable releases according to department guidelines and Federal limitations.
  • Answers and responds appropriately to phone calls received in the department.
  • Works successfully with other departments to develop and maintain efficient release of information processes and protocols.
  • Maintains knowledge of and adheres to Federal, State and company retention and destruction of records guidelines.
  • Successfully participates in archiving paper and electronic health records.
  • Receive and follow work schedule/instructions from supervisor and as outlined in established policies and procedures.
  • Escalates issues to direct supervisor that delay timely release of records.
  • Maintains patient confidentiality by keeping patient record information confidential.
  • Serves and protects the clinic community by adhering to professional standards, clinic policies and procedures, and federal, state, and local requirements.
  • Enhances department and clinic reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Ability to work independently and as a team player.
  • Communicates with coworkers and with clinical staff in a professional manner.
