Job Purpose & Position Overview 

The purpose of this position is to function as a Patient Access Representative (PAR)/Scheduling Specialist responsible for the clerical and administrative support including patient scheduling, registration, and eligibility services, which is the key point for interaction with patients to obtain and process demographic and insurance information. The Patient Access Representative/Scheduling Specialist in both Ambulatory and Acute Care Departments is responsible for the comprehensive and compassionate collection of all demographics, third party resources, and clinical information necessary to effectively register a patient for services at Twelve Clans Unity Hospital. 

Specific Job Duties/Responsibilities: 

  • Perform a variety of support duties that facilitate the work of physicians, physician assistants, nurses, and other staff of the hospital which consist of the following:
  • Patient Registration/Scheduling
  • Assists in accomplishing the work of the department by receiving and relaying incoming/outgoing telephone, intercom, and electronic messages for both ambulatory and acute care areas of the healthcare organization.
  • Maintains appointments and clinic availability listing by use of the RPMS and Moonwalk scheduling package, reviews for completeness and accuracy of data and ensures signatures on all required documents.
  • Interviews patients to obtain information to determine eligibility and initiate a new health record and/or reactivate a retired record via phone and occasionally in person. Collect and verify third party eligibility coverage. Prepare charts and assist with monthly reports to Supervisor as requested while always maintaining patient confidentiality.
  • The Patient Access Representative/Scheduling Specialist must be proficient in accessing the correct medical record number on each patient to avoid creating duplicate medical record numbers. Accuracy of data entry is of utmost importance.
  • Works closely with Patient Benefits Coordinators in the identification of patients who may be eligible for third party resources.
  • Performs other duties as assigned
  • This is a full-time position; shifts are typically Monday – Friday 7:30 a.m. – 4:00 p.m. The qualified candidate could also be responsible for covering shift(s) or another type of specific situation during periods of short staffing or the need to complete a particular task at the Ambulatory PAR Desk or the Emergency Department PAR Desk during the week, on weekends and or holidays.   

Qualifications/Skills: 

  • High School Diploma or Equivalency plus 2 years of experience in a healthcare organization
  • Working knowledge of the eligibility requirements of the Winnebago Comprehensive Healthcare System program
  • Knowledge of whether documented proof offered meets WCHS requirements
  • Demonstrated knowledge of medical terminology
  • Knowledge of interview techniques
  • Knowledge of the Privacy Act of 1974, and use of the confidential information and health records as an integral part of the interviewing office function and the privacy of individuals must be protected to the fullest extent possible
  • Knowledge of third-party resources (Medicaid, Medicare, Veterans Benefits, SSI, etc.) to make referrals to the Patient Benefits Coordinator and be able to respond to patient inquiries
  • Skilled in practical use of electronic systems to provide general clerical office support including but not limited to multi-line phone systems, computer equipment, printers, online tools and more.
  • Knowledge of patient registration/scheduling systems
  • Strong organizational and multi-tasking skills
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Experience with Meditech or similar EHR system is highly preferred. 

Training Requirements: 

  • As required to remain proficient in position and/or to meet requirements 

Physical Requirements:   

  • Normal to light office work which includes the ability to lift up to 10 lbs. 
  • Regularly required to walk, stand, and sit for extended periods of time and use hands to operate computer keyboard, phone, and various office equipment.  

Cognitive Requirements:  

  • Reading, writing, calculating.
  • Excellent social interaction skills. 
  • Ability to reasoning, understand and analysis project data. 
  • Ability to work effectively both independently and as a team. 

Language Requirements:   

  • Must possess the ability to read, write, and speak the English language fluently. 
  • Must be able to continually and effectively employ professional verbal and written communications skills.
