Summary
SUMMARY
The Payroll Processing and Tax Specialist is responsible for the preparation, disbursement, and accurate processing of the payroll in a multi-state environment using labor/time and attendance and payroll processing systems. Monitors assigned payroll activities and program components (e.g. County, State, and Federal agencies, tax laws, etc.) for the purpose of ensuring compliance with established financial, legal and administrative requirements. Research discrepancies of payroll information and/or documentation (e.g. time sheets, leave time, salary, supplements, payroll taxes etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing.

- Carry out the payroll processing cycle through completion by ensuring timesheet compliance, approvals, import/export of data and reconciliation between systems
- Ensure payrolls are processed and committed in a timely and accurate manner.
- Works closely with Human Resources, Benefits Administrators and Finance on payroll related issues and interconnected processes.
- Prepares and review various payroll and management reports, labor distribution postings, reconciles/reviews quarterly payroll tax reports for any variances and processes adjustments as needed.
- Reviews and maintain accurate payroll records and employee files, including various payroll tracking logs.
- Manages workflow to ensure all payroll transactions are processed accurately and timely.
- A primary point of contact between state agencies and our payroll processing vendor.
- Respond to tax notices and inquiries from government agencies.
- Maintain tax filing spreadsheets and state account login information.
- Ensure data accuracy within payroll systems by conducting routine audits.
- Apply for new state government payroll taxes as applicable.
- Research payroll tax related issues, provide supporting evidence, and reasonable solutions.
- Responds to employee inquiries and requests regarding payroll matters
- Train employees on organizations' timekeeping systems.
- Maintains client confidence and protects operations by keeping information confidential
- Ensure compliance with timekeeping policies and regulations
- Contributes to the team environment by participating in special projects and other job-related duties as assigned by management

SKILLS AND QUALIFICATIONS
- Multi-State Tax & Compliance: Solid understanding of varied state tax requirements, including nexus, reciprocity agreements, withholding rules, and State Unemployment Insurance (SUI).
- Contract Bargaining Units (CBA) Interpretation: Experience interpreting multiple, complex collective bargaining agreements to ensure compliance with union dues, wage differentials, and fringe benefits.
- Systems Knowledge: Proficiency with payroll platforms like Dayforce, ADP Workforce Now (WFN), Workday, or UKG.
- Critical Thinking: Ability to diagnose and resolve discrepancies quickly.
- Communication Skills: Strong verbal and written communication skills to effectively interact with employees and regulatory agencies.
- Attention to Detail: High level of accuracy and attention to detail in managing payroll tax processes.
EDUCATION & EXPERIENCE
路聽聽聽聽聽聽 Bachelor鈥檚 in accounting, finance, or a related field, with 0 - 2 years of experience, preferred.
路聽聽聽聽聽聽 Relevant work experience of 4 - 8 years accepted in place of formal degree.
路聽聽聽聽聽聽 Experience with Dayforce and/or Costpoint data management systems is preferred

Work Environment: This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. The role requires being in a stationary position and operating a computer for the majority of the workday.

Position Type/Expected Hours of Work: This is a full-time position. Typical days and hours of work are Monday through Friday, 8:00 am to 5:00 pm, though evening and weekend work may be required based on need.

Travel Requirements: Occasional travel may occur, up to 10%, primarily local during the business day.
