Summary:

Plan, coordinate, implement, and maintain a variety of office, billing and reporting activities to ensure accurate and complete inventories and reports, production reporting and ensure accounts payable and accounts receivable are up to date. 


Essential Duties and Responsibilities: 

Communicate with truck drivers via radio, answer phones, weigh trucks with scale and software, enter manual scale tickets with full comprehension of log lengths and species.


Review notes on Pick Ticket/Lumber List, update shipping calendar, print pick tickets, figure unit counts on tickets, effectively communicate with corporate office. Release railcars and receive inbound loads.


Process delivery tickets, customs documentation, check lumber trucks, review invoicing notes, LIMS Reporting, enter mill and planer production numbers.


Build loads, track repairs & maintenance supplies, figure employee sale prices, enter kiln charges.


Process accounts payable invoices by matching purchase orders and scanning to internal systems. 


Run system reports for open orders, profitability, rough green & dry inventory reports. 


Update and finalize month end reports, G/L Reports, equipment remans, sales order 

entry, and physical inventory.


Complete monthly NELMA report, scan checks, complete credit applications and tax-exempt forms, assist in updates to digital signage, and complete daily reports.


Research tag history to identify the root cause of inventory discrepancies and effectively communicate findings to leadership.


Make inventory tag adjustments, create new tags, and remove tags from inventory as needed.


Organize and order office supplies and supplies for facility events, meetings or other related activities.


Invoice procurement statements and maintain tracking records for residual loads.


Responsible for the organization, planning and leading of front office employees. 


Develop employee training, complete performance evaluations and individual development plans.


Perform other duties as assigned.


Basic Qualifications:

2-3 years’ experience Preferred in Accounts Payable, Payroll, Office Administration & Use of Excel Spreadsheets.


Computer proficient with Microsoft Office, Google applications, ability to navigate and acquire skills to use internal systems and advanced spreadsheet skills.


Ability to understand and respond to verbal communication and instructions in the English Language.


Ability to handle confidential and sensitive material in a highly professional manner.


Professional appearance, punctual and reliable.


Education, Experience, and Certifications:

Bachelor’s degree or least 2-3 years related experience in office management and administration role.


Work Environment:

Office work setting with occasional industrial and outdoor functions. 


Physical Demands:

Average eye-hand coordination.


Ability to occasionally lift light items (up to 30 lbs.) and sit or stand for up to 100% of an 8–10-hour shift.
