The Corporate Administrative Manager is responsible for ensuring the smooth day-to-day operation of the corporate office through administrative, operational, and project coordination support. This role serves as the primary liaison with building management, oversees office operations and workplace logistics, manages corporate communications, and coordinates meetings and special projects. While the position may occasionally provide administrative support to members of the Executive Leadership Team as needed, its primary focus is ensuring the efficient operation of the corporate office, supporting organizational initiatives, and delivering exceptional internal service.
Essential Functions
Administrative Support
•   Provide administrative support to the Chief Human Resources Officer and other members of Executive Leadership Team, including meeting scheduling, leadership dinners, and other coordination needs as requested.
•   Prepare presentations, reports, meeting materials, and correspondence.
•   Maintain organized electronic and physical files and records.
•   Coordinate meeting logistics, including conference rooms, catering, audiovisual needs, and materials.
•   Process departmental expenses and invoices as assigned.
Meeting Coordination
•   Coordinate leadership meetings and departmental meetings.
•   Prepare agendas, meeting materials, and follow-up action items.
•   Coordinate conference room, catering, technology, and virtual meeting logistics.
•   Support occasional off-site leadership meetings and small team gatherings.
Project Management
•   Assist with planning and execution of strategic projects and organizational initiatives.
•   Coordinate cross-functional efforts and monitor project progress.
•   Conduct research and gather information to support decision-making.
Corporate Communications
•   Assist in drafting internal communications and announcements as requested.
•   Coordinate communication between Executive Leadership and departments to ensure timely information flow.
•   Manage corporate distribution lists and serve as the gatekeeper for lists.
Office Management
•   Serve as the primary point of contact with corporate building management for all facility-related matters.
•   Manage digital name plate updates.
•   Manage employee parking assignments, parking access, and related communications.
•   Coordinate office moves, workspace assignments, and office setup.
•   Oversee office, kitchen, and breakroom supplies.
•   Coordinate office equipment maintenance and vendor service requests.
•   Ensure conference rooms and common areas remain organized and presentation-ready.
•   Manage relationships with office service vendors.
•   Support office safety initiatives and onboarding logistics for new hires.
Travel Coordination
•   Coordinate occasional travel arrangements when requested.
•   Prepare travel itineraries and assist with travel logistics as needed.
•   Support travel coordination for acquisitions, integrations, or special projects when required.
Workplace Experience
•   Help create a welcoming and professional corporate office environment.
•   Coordinate employee recognition activities and office celebrations.
•   Assist with hospitality for visitors and executive guests.
•   Support employee engagement initiatives led by Human Resources.
•   Coordinate office-wide communications regarding building operations and workplace updates.
Confidentiality
•   Handle sensitive and confidential information with professionalism and discretion.
Minimum Qualifications
•   Experience with office and facilities management.
•   Vendor management experience.

Physical DemandsÂ
