Job Description

We are hiring an Assistant Project Manager at our Winter Garden, FL location! The Assistant Project Manager supports the Project Manager in executing projects efficiently and accurately. This role plays a critical part in project setup, documentation, procurement, and coordination—ensuring a smooth transition from sales handoff to project execution while adhering to established approval workflows.

 

What You'll Do:

Project Setup & Turnover

  • Set up new jobs in the system based on turnover from the sales team
  • Review sales handoff documents for completeness and accuracy
  • Ensure budgets, cost codes, contracts, and project details are properly entered
  • Coordinate internal kickoff requirements to ensure projects start smoothly

Procurement & Vendor Management

  • Generate and manage purchase orders for materials and equipment
  • Handle large vendor POs following required review and approval workflows
  • Track material orders, lead times, and delivery schedules

Approval Workflows

  • Execute procurement and job setup actions in alignment with company approval structure
  • Route and obtain approvals prior to issuing purchase orders or committing costs
  • Ensure all approved documentation is properly recorded and stored

Project Support

  • Assist with scheduling, budgeting, and project tracking
  • Manage submittals, RFIs, and project documentation
  • Maintain accurate and up-to-date project files
  • Support billing, invoicing, and job cost tracking

Coordination & Communication

  • Communicate with vendors, subcontractors, and internal teams
  • Support the Project Manager with day-to-day project needs
  • Help ensure alignment between office and field operations

 

 

What You'll Bring to the Table:

  • 1–3 years of experience in construction, mechanical, or project coordination
  • Strong organizational and multitasking skills
  • Detail-oriented with strong follow-through
  • Experience with procurement and job setup processes preferred
  • Proficiency in Microsoft Office and project management software
  • Strong communication skills
