Purchasing Administrator

Kalahari Resorts & Conventions is seeking a Purchasing Admin. In this role, you will be responsible for supporting procurement operations, inventory management, system administration, and vendor onboarding activities. You’ll play a critical role in the successful implementation and ongoing maintenance of BirchStreet and IMS platforms, ensuring accurate setup of products, vendors, inventory locations, and purchasing data across the organization.

 

As part of our leadership team, you’ll embody our Promise to Lead with Love—guiding, supporting, and inspiring associates while delivering extraordinary guest experiences. You’ll play a vital behind-the-scenes role in ensuring resort departments have the products, systems, and resources they need to deliver exceptional guest experiences. By maintaining accurate procurement data, supporting inventory and vendor management, and streamlining purchasing processes, you'll help create an efficient operation that sets associates up for success every day. 

 

*** Position starting as early as September. ***

 

Pay Rate - $22 - $24/Hr.

 

Key Responsibilities  

 

  • Responsible for handling a wide range of raw fish and other ingredients.
  • Support inventory control and reporting, logistics coordination, usage analysis, and purchasing process improvements.
  • Administer and maintain BirchStreet procurement software.
  • Maintain accurate inventory, vendor, and product information across all systems.
  • Link products to approved vendors and maintain item master data.
  • Create, update, and maintain order sheets for departments and outlets.
  • Support ongoing BirchStreet and IMS implementation initiatives.
  • Assist with user training and system support for BirchStreet and IMS platforms.
  • Submit vendor documentation and support supplier onboarding processes.
  • Monitor open purchase orders and run purchasing and usage reports.
  • Assist with continuous improvement efforts related to procurement, inventory, logistics, and operational processes.

 

What We’re Looking For  

 

  • High School Diploma or GED required.
  • Must be highly organized, detail-oriented, capable of managing large volumes of data, and comfortable working with cross-functional teams, vendors, and operational departments in a fast-paced hospitality environment.
  • Must be Proficient in Microsoft Excel and related business applications.
  • Must have a basic understanding of purchasing, inventory management, and supply chain processes.
  • An Associate's or Bachelor's degree in Business, Supply Chain, Hospitality, or related field preferred.
  • Previous purchasing, inventory control, procurement, warehouse, or food and beverage experience preferred.
  • Hospitality, resort, hotel, restaurant, or distribution experience strongly preferred.
  • Experience with BirchStreet or similar procurement software preferred.
  • Experience supporting system implementations is a plus.

Preferred Experience

 

  • Experience in a pre-opening hospitality or resort environment.
  • Willingness to assist with hands-on inventory, receiving, warehouse, and operational support activities when needed.
  • Strong customer service mindset with a focus on supporting operational departments and building vendor relationships.

 

Physical Requirements

 

  • Ability to sit, stand, walk, and move throughout the property for extended periods.
  • Ability to work in warehouse, receiving, and office environments.
  • Ability to communicate effectively with associates, vendors, and management.
  • Ability to lift and move materials as needed within established safety guidelines.
  • Must be flexible to work weekends, holidays, and varied schedules when business needs require.
