The Administrative Assistant serves as a key support role within the CEO’s Office by proactively anticipating needs and executing assigned directives with excellence. While this is a highly administrative position, responsibilities may vary week to week based on the needs of the CEO and the Ministry. The most important responsibility of this role is to consistently demonstrate professionalism, discretion, and confidentiality while completing tasks with accuracy and excellence. Essential Duties: Print agendas and reports. Maintain and organize electronic and hard-copy files. Manage travel arrangements, including booking hotels, car rentals, and creating itineraries. Respond to select phone calls as assigned. Book meeting rooms. Ensure office supplies remain fully stocked. Create and prepare presentations as needed. Assist with project management tasks. Perform professional administrative tasks, including booking appointments, researching projects, and organizing gifts or flowers. Code and reconcile credit card expenses. Assist with planning, coordinating, and executing special events (e.g., NXT Level Conference). Serve lunches. Perform other duties as assigned. QualificationsKnowledge, Skills, and Abilities: Self-starter who can work with minimal supervision. Ability to work well in a fast-paced environment. Excellent verbal and written communication skills. Must be able to speak clearly and persuasively in positive or negative situations. High comfort level working with executive-level management and VIPs. Strong administrative and organizational skills. Detail-oriented with excellent follow-up skills. Ability to handle personal, sensitive, and confidential information with discretion and diplomacy. Strong proficiency in Windows-based computers, including Outlook, Word, Excel, and PowerPoint. Proficiency with Mac products is a plus. Excellent problem-solving skills. Ability to plan, prioritize, and complete tasks in a timely manner. Excellent planning skills and strong attention to detail. Able to demonstrate flexibility and poise in handling changing priorities, diverse day-to-day responsibilities, as well as non-routine circumstances. Effective reporting, scheduling, and time management skills. Strong interpersonal skills and ability to work effectively with peers, managers, the community, and different populations. Ability to pick up new technology quickly. Good research skills and the ability to collect data from varied sources. Familiarity with credit card reconciliation and expenses. Requirements: Must have a personal relationship with Jesus Christ. Must sign the Statement of Faith. Professional appearance is required. Must be dependable and punctual. A high school diploma or equivalent is required. A Charis Bible College student or graduate is preferred. Must have reliable transportation. Must accurately type 60 WPM. Must pass all required checks. Experience: 1–2 years of experience supporting a leader in an administrative capacity, preferably within a non-profit organization.
