The Wound Center Secretary

Scheduling, Precertification and Registration

MAIN FUNCTION:

  • Answers phone in a professional but kind, welcoming manner. 
  • Greets our patients in a friendly and courteous manner to help them feel welcomed to The Wound Center at WCH.
  • Schedules patient appointments for various/multiple tests performed hospital wide as ordered by a physician. 
  • Obtains complete and accurate demographic and insurance information and enters information accurately into the Meditech computer system.
  • Ensures prior authorization/precertification process is correctly followed per insurance guidelines prior to services being rendered for provider visits and various treatment options recommended by Wound Center providers.
  • Additional duties performed may include but are not limited to: copying, faxing, verifying orders against scheduled test and answering/placing phone calls.
  • Any other additional duties assigned by the Patient Access and Wound Center department manager/directors. 

RESPONSIBLE TO: The Director & Supervisors of Patient Access, as well as the Director of The Wound Center.

MUST HAVE REQUIREMENTS: 

  • HIGH School Diploma or GED
  • Experience working in a physician’s office or hospital setting with third party payers to obtain authorization for hospital services and provider visits
  • Must be organized, show attention to details, and maintain excellent prioritization skills.
  • Ability to work under pressure, handle multiple tasks in a high stress work area.
  • Interpersonal skills including effective oral communication and good telephone etiquette.
  • Experience dealing with the public.
  • Strong computer skills: managing multiple software applications, typing ≥ 40 wpm, ability to utilize internet and other technology
  • Familiarity with medical terminology
  • Ability to work independently or as a team, willing to learn multiple duties as necessary.
  • No written disciplinary actions within the last 12 months.
  • Willingness to change and adapt duties and processes to meet the needs of the organization.

PREFERRED ATTRIBUTES:

  • Experience with Meditech
  • Registration, scheduling and insurance precertification experience
  • 1 year Radiology Scheduling experience or scheduling experience in Diagnostic Imaging

Operations 

  • Follows all hospital and Patient Access policies and procedures
  • Identifies patient accurately using at least two forms of identification
  • Inputs required patient information into computer in a complete and accurate manner
  • Monitors registrations, makes follow-up phone calls to ensure accuracy of demographic and financial information as well as communicating any payment amounts that may be due at time of service.
  • Evaluates physician orders and schedules appropriate follow up appointments and testing.
  • Communicate testing instructions and precaution information at time of scheduling
  • Accurately completes insurance prior authorizations for office visits and physician requested treatments
  • Complies new patient charts and gathers needed information to optimize patient-physician interaction

  • Assesses customer satisfaction when interacting with patients and other non-patient customers and uses appropriate chain of command for unresolved issues or problems.

  • Always uses courteous telephone techniques when speaking to the physician’s office, patients and other hospital departments.
