Easterseals Massachusetts is seeking a detail-oriented and organized AT Operations Coordinator to join our Assistive Technology team. This role provides administrative and operational support that helps ensure individuals receive the assistive technology equipment and services they need to live, learn, work, and participate more independently in their communities.

What You'll Do

As the AT Operations Coordinator, you will support the daily operations of our Assistive Technology programs by:

  • Assisting with equipment purchasing and order management activities
  • Receiving, organizing, and tracking assistive technology equipment and inventory
  • Processing documentation, service approvals, authorizations, and contract-related paperwork
  • Preparing and tracking equipment quotes and service requests
  • Maintaining accurate records and data in Salesforce, Excel, OneNote, and other tracking systems
  • Monitoring department inboxes and routing referrals, documentation, and requests appropriately
  • Following up with staff regarding equipment requests, approvals, documentation, and purchase status
  • Tracking inventory, equipment deployments, subscriptions, and renewal activities
  • Supporting purchasing, inventory management, contract administration, and other operational processes
  • Assisting with continuous improvement initiatives that enhance efficiency and service delivery

What We're Looking For

Required Qualifications

  • Associate degree in Business Administration, Healthcare Administration, Office Administration, Human Services, Accounting, or a related field
  • Strong organizational skills and attention to detail
  • Proficiency with Microsoft Office applications, including Outlook and Excel
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Ability to maintain confidentiality and accuracy when handling sensitive information

Preferred Qualifications

  • Experience in an administrative, customer service, purchasing, healthcare, nonprofit, or operations support role
  • Experience working with databases, CRM systems, or data tracking platforms such as Salesforce
  • Familiarity with inventory management, purchasing processes, or contract administration
