POSITION SUMMARY: 

The Leased Housing Principal Clerk processes re-certifications for federal and state leased housing voucher program applicants and provides general clerical support to the department through exceptional customer service. Daily tasks include greeting visitors to the department and directing them to the appropriate representative; answering and directing incoming phone calls, taking detailed messages and answering questions appropriately where able; sorting and distributing department mail; collecting and maintaining landlord data; as well as other administrative tasks as assigned, such as drafting letters, data entry, copying, faxing, filing, and supporting the Program Representatives and other department staff.

ESSENTIAL FUNCTIONS: 

  • Completes annual re-certifications for federal and state program applicants.
  • Collects and maintains apartment listings from landlords.
  • Drafts letters and documents.
  • Answers phones and directs all incoming phone calls appropriately.
  • Greets visitors to the department and directs them to appropriate representative.
  • Opens, date stamps, and distributes all incoming mail; prepares outgoing mail.
  • Maintains inventory of department supplies and equipment.
  • Carries out a variety of clerical duties, including data entry, copying, faxing, and filing.
  • Performs similar job-related duties as assigned.

QUALIFICATIONS:

  • High school diploma or equivalent required; college degree preferred.
  • Minimum of three (3) years’ experience working in an office environment.
  • Strong interpersonal communication and writing skills.
  • High level of integrity; ability to maintain confidentiality.
  • Attention to detail; ability to multi-task while staying organized.
  • Adept at using Microsoft Office products, specifically Excel, Word, and Outlook, and ability to quickly learn computer software programs.
  • Ability to type quickly and accurately, and to use office equipment such as phones, fax machines, copiers, and scanners.
  • Excellent English vocabulary and grammar skills; bilingual candidates (English/Spanish) preferred.
  • Competent with basic mathematical functions including addition, subtraction, multiplication, division and the calculation of percentages.
  • Pleasant and calm demeanor, superior customer service skills.
  • Ability to work effectively and independently in a fast-paced work environment with frequent interruptions.
  • Ability to work cooperatively and pleasantly with a diverse population.
  • Positive attitude and willingness to learn, be accountable, and strive for success.
  • Ability to be relied upon to be available for work.
