  • Compensation: $850 per week, paid bi-weekly + performance-based bonuses

  • Monthly Performance Bonus:
  • 90%+ demo confirmation rate = $5 per demo

About the Role

All-Weather Seal of West Michigan is seeking a motivated and organized Scheduling Manager to lead our Scheduling and Confirmation Department.

The Scheduling Manager is responsible for building, training, and managing the confirmation team while ensuring our appointment calendar remains full, accurate, and optimized for the Sales Team.

This is a hands-on leadership position. You will oversee the day-to-day confirmation and verification process, monitor appointment quality, manage lead assignments, communicate directly with Sales Leadership and Sales Representatives, and hold the Scheduling Team accountable to performance goals.

The ideal candidate is a strong communicator, natural leader, highly organized, competitive, and comfortable managing people and performance in a fast-paced environment.


What You'll Do

Lead & Manage the Scheduling Team

  • Hire, train, coach, and develop Scheduling Coordinators
  • Establish clear expectations, goals, and performance standards
  • Monitor individual and team performance
  • Provide ongoing coaching, feedback, and accountability
  • Motivate the team to achieve confirmation, fulfillment, and appointment-setting goals
  • Manage daily staffing and workflow to ensure adequate coverage
  • Address performance issues and recognize top performers

Manage Confirmations & Verifications

  • Oversee all appointment confirmation and verification activities
  • Ensure leads are properly contacted, verified, and confirmed
  • Monitor appointment quality and identify opportunities to improve show rates
  • Review unconfirmed, canceled, and at-risk appointments
  • Develop strategies to reduce cancellations and increase appointment fulfillment
  • Ensure company processes and procedures are followed consistently

Own the Appointment Calendar

  • Oversee and optimize the company's appointment schedule
  • Monitor calendar capacity and Sales Representative availability
  • Identify open opportunities and maximize available appointment slots
  • Reset and reschedule appointments when necessary
  • Ensure appointments are properly assigned and prepared for the Sales Team
  • Balance lead volume and appointment opportunities across the Sales Team

Lead Assignment & CRM Management

  • Assign verified leads to Sales Representatives through the company CRM
  • Ensure leads are assigned accurately and in a timely manner
  • Monitor lead distribution and Sales Representative availability
  • Maintain accurate scheduling and lead information within the CRM
  • Work with Sales Leadership to address lead assignment and fulfillment issues
  • Ensure Sales Representatives have the information necessary to successfully run their appointments

Partner With Sales Leadership

  • Communicate daily with Sales Representatives and Sales Management
  • Provide updates regarding appointment volume, confirmations, cancellations, and schedule changes
  • Coordinate lead assignments and scheduling priorities
  • Identify trends affecting appointment fulfillment and sales performance
  • Work collaboratively with Sales Leadership to improve overall appointment quality and production
