The role, at a glance
This position combines hands-on accounting responsibilities with HR and employee support, making trust, confidentiality, accuracy, and good judgment especially important. You'll work closely with our CFO, Accounting, HR, and Marketing teams to manage accounts payable, payroll, deposits, credit cards, vendors, and select HR processes. It's a strong fit for someone who enjoys variety, takes pride in accuracy and follow-through, and is comfortable working with sensitive financial and employee information.
What you’ll do
- Process general company invoices, employee expense reimbursements, weekly check runs, and ACH payments.
- Complete vendor credit applications and assist with accounts payable inquiries.
- Post cash receipts and complete remote bank deposits.
- Reconcile company credit card statements and assist with credit card-related issues.
- Set up and maintain vendor records, including COIs, W-9s, and 1099 status.
- Process bi-weekly payroll and complete new hire and termination updates within the ERP.
- Assist with benefits enrollment and other HR and employee-related needs.
- Coordinate interview scheduling and provide recruiting administration support.
- Coordinate employee onboarding and offboarding activities.
- Assist with office and team events and other employee engagement initiatives.
- Provide backup for time-sensitive administrative responsibilities when needed.
- Manage petty cash and assist with maintaining business licenses and finance-related records.
- Participate in process and system improvements across Accounting and HR.
What you’ll bring
- 1+ year of accounting experience; 2+ years preferred.
- Understanding of basic accounting principles.
- Payroll processing experience strongly preferred.
- Proficiency in Microsoft Excel, including data sorting, filtering, and basic formulas.
- Strong organizational, time management, and problem-solving skills.
- A high level of discretion and the ability to maintain confidentiality when handling sensitive financial and employee information.
- Strong communication skills and the ability to work collaboratively across the organization.
- Comfort tactfully navigating conversations related to missed payments, documentation, or task deadlines.
- An interest in improving processes and contributing to a growing organization.
- HR or related experience is a plus.
- Architecture, Engineering, or Construction industry experience is a plus.
- Familiarity with project and contract compliance requirements, including COIs and lien waivers, is helpful.
- Experience with Unanet ERP, Unanet CRM, and/or ADP WorkforceNow is helpful.
- Associate’s degree in accounting, business, or a related field preferred.
