Case Management & Data Entry Specialist

About Us

Westchester-Putnam TheraTeam is a pediatric therapy organization providing outpatient clinic and community-based (CPSE/EI) services to children and families. We're looking for a detail-oriented, highly organized team member to manage the case management for CPSE, data entry, and compliance workflows that keep our programs running smoothly.

About the Role

This role is responsible for the full administrative lifecycle of our CPSE cases — from claims entry through compliance tracking. This role is essential to ensuring accurate billing, timely authorizations, and clean compliance records across our CPSE caseload. You'll work closely with our Operations, Staffing, Billing & Compliance teams to make sure nothing falls through the cracks.

What You'll Do

  • Enter and manage CPSE data in claims systems accurately and on schedule
  • Create and maintain client files for new CPSE cases
  • Update and maintain the CPSE tracker with current, accurate case information
  • Prepare and send out intake paperwork to new families
  • Identify, research, and resolve EI (Early Intervention) claim rejections
  • Monitor and maintain CPSE prescription compliance, flagging expirations or gaps before they become billing issues
  • Communicate with families, therapists, and administrative staff to resolve missing documentation or paperwork issues
  • Support audits and documentation reviews as needed
  • Escalate recurring issues or systemic gaps to the Operations Manager

What We're Looking For

  • Prior experience with CPSE, EI, or pediatric therapy billing/administrative processes strongly preferred
  • Strong data entry accuracy and attention to detail
  • Comfort working within claims/billing systems and case tracking tools
  • Excellent organizational skills and ability to manage multiple open cases at once
  • Strong written and verbal communication skills
  • Ability to work independently and follow up on outstanding items without prompting
  • Familiarity with HIPAA and confidentiality requirements in a healthcare setting

What We Offer

  • Competitive salary based on experience
  • Health, dental insurance
  • PTO / paid holidays
  • Growth opportunities within a growing pediatric therapy organization
  • Simple IRA
  • & more
