Description

The CSA has the primary responsibility of handing initial customer contact either in person or over the telephone (and at times via the web). These customer contacts may be with the patient, a caregiver, a referral source, or a commercial account. They are there to receive, qualify, and process -according to procedure - all customer orders in a timely, efficient, accurate, and courteous manner. They often are involved in investigating and responding to customer inquiries regarding shipments, products, deliveries and complaints.


This department handles all complex Respiratory orders that are received by doctor offices and hospitals. The orders are mainly for Cpap/Bipap orders to assist OSA patients. This department handles all life sustaining equipment orders. This requires following the insurance qualifications for each device that is ordered and getting the patient scheduled with an RT on call to get the patient settled right after discharge.

Requirements

Job Duties / Essential Functions:聽

1. Service Recovery聽

a. Solicits customer feedback to improve service聽

b. Responds to requests for service and assistance in a timely manner聽

c. Provides appropriate documentation of customer satisfaction comments

2. Customer Focus聽

a. Receives customers and/or answers phone calls courteously聽

b. Assesses customers' needs and considers customer in decision making processes to ensure customer satisfaction

c. Maintain logged into phone queue to reduce customer wait time and facilitate timely processing of orders

d. Greets customers in a polite and professional manner. Determine customer鈥檚 needs and process orders timely and accurately

e. Adhere to the department鈥檚 attendance and scheduling requirements, which includes working rotating shifts, weekends and holidays

3. Customer Service Education聽

a. Assist with the education and customer service teaching 聽聽within MEC聽

b. Assist with customer service training as requested by departments/managers

4. Fiscal Accountability

a. Process orders in a timely and accurate manner and collect copayments upfront to facilitate prompt turnaround of accounts receivable

b. Understand payer specific billing/payment requirements and state and federal mandated standards to ensure orders are dispensed 聽聽appropriately and reduce possibilities of write offs

c. Perform thorough and accurate verification of insurances

d. Ensure all appropriate documentation is received; script, PAR鈥檚, qualifying SAT鈥檚, F2F and WOPD prior to dispensing orders to ensure 聽聽reimbursement and reduce opportunities for financial recoupment (where applicable)

II. Specialty Essential Functions:

1. CSA Overview聽

a. Adhere to all state 聽聽and federally mandated documentation standards.聽

b. Enter all 聽聽documentation in the computer system accurately on a daily basis accurately 聽聽as required.聽

c. Perform thorough 聽聽verification of insurance.聽

d. Open new customer 聽聽computer files and complete required documents before passing on account to 聽聽billing department.聽

e. Accurately and 聽聽efficiently, create the appropriate delivery, billing and collection 聽聽paperwork.聽

f. Enter and confirm work 聽聽orders and monitor open orders for accuracy and completion.

g. Navigate through 聽聽multiple software systems to get the patient scheduled and pushed to the 聽聽Respiratory Therapists

h. Follow up on the 聽聽patient鈥檚 compliance goals and make sure they are using the unit as needed 聽聽per doctor鈥檚 request and the insurance guidelines to continue to pay for 聽聽device.

2. Telephone Orders聽

a. Answer phones by the 聽聽third ring, using all features of the phone effectively and using hold only 聽聽for short times and with good follow up.聽

b. Speak clearly and 聽聽provide excellent customer service over the phone, through tone and style, when handling the initial customer contact with home care patients and 聽聽referral courses.聽

c. Gather complete data 聽聽and accurately take orders.

d. Communicating with 聽聽patients over via MedChat (system that is used to help patients via web chat)

3. Intake and Insurance 聽聽Verification聽

a. At intake, prepare 聽聽patient paperwork and enter all patient data correctly, including demographic 聽聽information, physician, diagnosis and payer. Enter data into the computer 聽聽based on customer interviews.聽

b. Determine the best 聽聽method for providing service while evaluating reimbursement and cost impact 聽聽to the company. Make those decisions based on customer need, vendor pricing 聽聽and third-party reimbursement possibilities.聽

c. Verify insurance as 聽聽required, with both primary and secondary payers, and determine if request 聽聽for product or service can be fulfilled within parameters of insurance 聽聽coverages or if the request requires management review and approval. - In 聽聽certain case by case situations and with Manager鈥檚 approval, negotiate levels of service and 聽聽discounts.

d. Learning and following 聽聽the most up to date billing processes for each insurance.

4. Customer 聽聽Service-Customer Inquiries聽

a. Ensure compassionate 聽聽and positive interactions with customers.聽

b. Respond quickly and 聽聽professionally to customer inquiries (patients and referral sources), both in 聽聽the store and on the phone, with regard to appropriateness, availability, and 聽聽coverage guidelines of equipment/supplies.聽

c. Receive, investigate 聽聽and respond to all customer inquires regarding shipments, products, deliveries and complaints.聽

d. Resolve customer 聽聽concerns and complaints by identifying problems and coordinating appropriate 聽聽corrective action - Maintain accurate and complete documentation of 聽聽complaints and resolutions.聽

e. When unable to respond 聽聽to any of the above inquiries or questions, refer patients and referral 聽聽sources to the office manager or personnel best suited to handle them.聽

f. Provide skilled 聽聽responses to grieving, upset or difficult customers.聽

g. Exhibit excellent 聽聽verbal and written communication skills.

5. Patient Assistance聽

a. Assist patients in 聽聽selection of and instruction regarding equipment, supplies, and services.聽

b. Be able to accurately 聽聽and clearly instruct the customer or caregiver in the proper and safe use of 聽聽all equipment delivered in the store and provide each customer with the 聽聽appropriate instructional material.聽

c. Be able to solicit 聽聽sales of new or additional products or services by suggesting additional 聽聽follow-up items relative to the patient鈥檚 diagnosis.聽

d. Where applicable and 聽聽appropriate, based on training, provide specialized fitting of items such a 聽聽compression hosiery.

6. Walk-In and Retail 聽聽Sales (Where applicable)

a. Greet walk-in 聽聽customers promptly, courteously and above all, in a friendly manner.聽

b. Consult with walk-in 聽聽customers as to their equipment and service needs. Use open-ended questions 聽聽effectively as part of the sales process.聽

c. Prepare order form and all documentation needed for intakes.聽

d. Obtain required signatures and provide the customer with a new patient packet.聽

e. Provide the customer complete documentation and instruction.聽

f. Make certain area is 聽picked up and neat after helping customer.聽

g. Be able to solicit sales of new or additional products or services by suggesting additional follow-up items relative to the patient鈥檚 diagnosis.

7. Confidentiality and Compliance聽

a. Treat all information 聽聽and data within the scope of the position with appropriate confidentiality 聽聽and security.聽

b. Understand and 聽聽practice the rules regarding patient confidentiality, HIPAA and compliance, and safety. Adhere to all state and federally mandated standards regarding 聽聽confidentiality and patient rights.

Skills / Qualifications:聽

路 High School Diploma or GED.

路 Previous experience in healthcare or durable 聽聽medical equipment and supplies preferred.

路 Demonstrated PC skills with proven data entry experience.聽

路 Proficient in MS Office, especially Word and Excel.聽

路 Strong organizational and time 聽聽management skills.

路 Previous 聽聽experience dealing with insurance guidelines, medical terminology/diagnosis, and extracting data from EMR鈥檚 to expedite order processing preferred.
