Ā Hours: 25 hours per week (5 hours per day, with flexibility in how hours are allocated across the week). Occasional projects may require additional hours.

Job Summary

The Corner Health Center seeks an Administrative Assistant to provide administrative support across the organization. This person will primarily support the Executive Director and Development Director, with additional support to Operations and Care Coordination. This role is a great fit for someone who likes variety, juggles priorities well, and finds genuine satisfaction in making other people's work easier.

Essential Duties and Responsibilities

Scheduling and Meeting Logistics

  • Maintains calendars, responding to scheduling requests and Doodle polls
  • Schedules and coordinates logistics for internal and external meetings
  • Creates agendas, takes minutes, and coordinates resources for meetings
  • Supports onboarding, orientation, and scheduling for interns and volunteers, and helps maintain the training calendar

Correspondence and Document Preparation

  • Handles correspondence on behalf of leadership ensuring timely and professional responses
  • Proofreads and formats reports, presentations, letters, and other documents, maintaining confidentiality
  • Prepares Medicaid enrollment certification letters

Records, Checks, and File Management

  • Maintains organized files and records
  • Processes checks and credit card donations received by the organization into Donor Perfect and reconciles with finance.

Vendor, Facilities, and Office Support

  • Supports vendor coordination and tracking for facilities and operations projects
  • Assists with tracking office supply inventory and submitting orders
  • Opens, sorts, and distributes mail
  • Welcomes visitors and keeps shared spaces, particularly meeting rooms, break spaces, and kitchenettes, professional and tidy
  • Sets-up and breaks-down catering as required for meetings
  • Other duties as assigned

Board Support, Events, and Special Projects

  • Organizes and maintains accurate files and records for Board, Board committees and related Board meetings and activities.
  • Attends assigned Board and committee meetings (including evenings) as needed.
  • Creates and publishes Board meeting minutes at the request of the Board Secretary.
  • Sends out monthly Board meeting materials using Microsoft Teams.
  • Provides occasional logistical support for fundraising and donor events
  • Provides support for special projects such as fundraising mailings, newsletters, and appeals

Requirements

  • Associate's degree or equivalent experience
  • 3+ years in an administrative or executive support role
  • Strong proficiency in Microsoft Office (Word, Outlook, Teams, PowerPoint)
  • Excellent proofreading skills
  • Strong interpersonal skills, with the ability to interact professionally with leadership, staff, donors, and visitors
  • Comfortable managing competing priorities across multiple supervisors and departments
  • High level of discretion and ability to maintain confidentiality
  • Appreciation for the agency's mission and sensitivity to the needs of adolescents and young adults
