Procurement Administration Assistant

We are seeking a dedicated Procurement Administration Assistant to provide effective administrative support to our Procurement team. This role is office-based and requires a detail-oriented individual who can manage multiple administrative tasks efficiently.

Day-to-day of the role:

  • Provide a range of administrative support services to the Procurement team.
  • Process purchase requisitions accurately and maintain up-to-date electronic records and files.
  • Update and maintain spreadsheets and accurately receipt goods, including direct orders and sub-contractors.
  • Monitor and reorder stationery as required and chase outstanding orders with suppliers.
  • Clarify requirements with requisitioners/stakeholders and handle internal and external customer inquiries via email, phone, and MS Teams. This includes advising on deliveries, discrepancies, and product information.
  • Ensure a customer-focused approach in all service aspects, aiming to meet the needs of both internal and external customers by providing high-quality service.
  • Attend meetings, team briefings, and conferences as required, and provide support to other members of the Directorate.
  • Ensure compliance with Financial Regulations and adopt a proactive approach to equality and diversity issues.

Required Skills & Qualifications:

  • Proven experience in an administrative role, preferably within a procurement setting.
  • Strong ability to maintain and update records and manage data accurately.
  • Excellent communication skills and proficiency in using MS Office applications, especially Excel.
  • Ability to work effectively both independently and as part of a team.
  • Strong organisational skills and the ability to handle multiple tasks simultaneously.
  • A proactive approach to problem-solving and the ability to manage discrepancies effectively.
