Our client, based in South Cambridge, is looking for a PA and Office Administrator to join their team. The PA and Office Administrator will report in to the Executive Assistant to CEO and Office Manager. Working as part of the administration team, the PA and Office Administrator will assist in managing the office, will provide PA support to three Vice Presidents, and provide administrative support to all employees. The role also covers managing the company website with an external provider, and working closely with an external IT provider.

Key responsibilities will include:

  • Arranging domestic and international travel
  • Organising offsite meetings including large company meetings
  • Booking and preparing meeting rooms, organising catering and catering companies
  • Managing hot desk bookings
  • Managing catering activities, issues, and ensuring safety compliance is followed
  • Supporting the Executive Assistant with internal and external communications and external affairs
  • Updating communications via company intranet, X, LinkedIn and company website
  • Supporting IT projects and strategy
  • Providing initial support to employees with IT queries
  • Tracking software licenses
  • Onboarding employees with IT equipmentand working with HR regarding the return of IT equipment for leavers
  • Managing tracking of IT equipment
  • Tracking DocuSign/ Zoom/ Sign In app/scientific software on machines
  • Main administrator for publications library
  • Creating purchase orders
  • Maintaining databases
  • Ad hoc duties as required.

Candidates will need to have the following skills and experience:

  • Minimum English and Maths GCSE
  • Previous experience of working in a similar role
  • Ability to deliver high quality administration - meetings, travel, conferences
  • Good working knowledge of Microsoft packages, including Word, Excel and PowerPoint
  • Exceptional written and verbal communication and people skills
  • Ability to organise and multi-task
  • Proactive, able to use initiative and work independently
  • Attention to detail
  • Ability to handle people with tact and sensitivity
  • High level of integrity.
