Huber+Suhner produce market-leading optical circuit switches for advanced fibre optic communications networks.Â
The programme management team works across the business to deliver product design, software release, and process improvement projects in the UK and Poland. The team are responsible for ensuring that scope, cost, and schedule are delivered to target and projects are managed in accordance with Huber+Suhner processes. Â
The Project Administrator supports the project management team in the smooth planning, execution, and delivery of projects across the Huber+Suhner Polatis business.Â
The role provides essential administrative support, maintaining project documentation and ensuring effective communication among the team. Through the provision of administrative support the Project Administrator enables Project Managers to focus on achieving project objectives.Â
As our Project Administrator you will:Â
• Assist in the preparation and co-ordination of project plans and budgets
• Collate information from team members into a central location for new project set up e.g. resource and budget requirements
• Collect and co-ordinate regular project data such as timesheet submissions and forecast information
• Track and maintain project costs, such as production orders and purchases orders and assist the budget approver in validating whether costs align with project budget
• Raise purchase orders as requiredÂ
• Update project cost tracking documents for monthly reporting to the Finance Team
• Support Project Managers in managing & tracking project change requests that impact finances
• Assist Project Managers with re-planning, re-approval, and re-baselining of projects
• Maintain comprehensive project documentation, including meeting minutes, reports and correspondence
• Provide administrative support in organising meetings, preparing presentations and tracking project milestones
• Coordinate with the Finance Team to ensure timely and accurate invoicing and payment processing
• Contribute to developing & implementing improved and streamlined processes
In order to be successful in this role you must have:Â
EssentialÂ
• Relevant experience in an administrative or project support role
• Experience with Microsoft Office tools
• Strong organisational and time management skills, with the ability to prioritise effectively
• Self-motivated, confident with a proactive approach to identifying and resolving issues
• Able to communicate effectively with people at all levels verbally and in writing
• Calm and positive approach to the pressures of working in a busy department
• Ability to handle confidential information with discretion
• Able to work effectively as an individual and as part of a team
• Able to work in the Cambridge officeÂ
DesirableÂ
• A demonstrated interest in Project Management
• Track record of working in an engineering environment
• Experiencing of contributing to continuous improvement to ways of working
