We are looking for an immediately available Receptionist to provide temporary cover for our client, based on the Cambridge Biomedical Campus.
You will be part of a team which provides reception and information services for staff and tenants, as well as administrative duties to the Site Facilities Manager. This is a key role as Reception is often the first point of contact for visitors and staff and maintaining a good first impression is important to the reputation of the organisation and the building’s occupiers.
Applicants will need to be able to demonstrate previous Reception/Front of House experience, along with first class Customer Service skills. You will need to be a competent user of computer systems and databases.
This is a full-time role, working from 9am-5pm Monday-Friday. The assignment will start immediately and run for approx. 6 months with a possible extension.
Principle Responsibilities:
- Answering the main switchboard, transferring calls or advising staff of the arrival of visitors for meet and greet purposes
- Receiving and distributing courier deliveries and collections, placing external post into post trays, logging parcel acceptance and logging received items
- Coordinating the booking of car park spaces
- Acting as site host for engineers arriving on site to service equipment and the building
- Receiving and acting upon all requests (verbal, written and electronic) for booking meeting rooms and lecture theatres, liaising with caterers as necessary
- Facilitating on-site interviews for tenants copying identification documents, facilitating site induction, and basic liaison with interviewees where required
- Utilising the Access Control system software to programme staff cards, administer the guest card system and enable the shutting down of lost or redundant cards on site
- Acting as deputy to the Site Facilities Manager for admin purposes in their absence
- Filing of all Reception signing in/out books held on Reception
The successful candidate will be able to demonstrate:
- Previous reception and/or office experience, demonstrating knowledge of processes and general concepts related to reception work
- Excellent communication, interpersonal and customer service skills
- Approachable manner and ability to problem-solve discreetly in a public environment
- Ability to organise time and work
- Competence in the use of office equipment and software, including Microsoft Office and reservations systems
- Ability to work as part of a team
