Receptionist / Administration Officer

An exciting opportunity has arisen to join the Safeguarding and Reviewing Unit Administration Team within the Children and Young People’s Service at Wakefield Council. Based at Five Towns Resource Centre, this role requires a highly organized and proactive individual to provide comprehensive administrative support in a fast-paced environment.

Day-to-day of the role:
  • Provide live minute-taking at conferences and distribute minutes to attendees post-event.
  • Manage electronic diaries, send out meeting invitations, and handle data input using Microsoft Office and dedicated social care recording systems.
  • Deal with enquiries from the public and professionals both over the phone and face-to-face, maintaining a high level of customer service.
  • Act as the first point of contact for users and visitors, handling routine enquiries and requests for information independently.
  • Coordinate calendars for conference and training room bookings and arrange meetings on behalf of Support Services Managers.
  • Monitor and respond to reception/team mailbox enquiries received by email.
  • Undertake timely and accurate data recording and storage within electronic and manual systems.
  • Maintain a safe, secure, and confidential working environment, ensuring compliance with health and safety regulations.
Required Skills & Qualifications:
  • Excellent communication and organisational skills.
  • Ability to operate independently using own initiative and as part of a team.
  • Proficient in Microsoft Office and familiar with electronic data management systems.
  • Experience in administrative roles, preferably within a similar setting.
  • Awareness of data protection and confidentiality, especially concerning sensitive information.
  • Ability to manage multiple tasks efficiently and adapt to changing priorities.
