Role - Residential Conveyancing Legal SecretarySalary - £23,000 - £25,000Location - Doncaster, South Yorkshire About the Role:We are currently seeking a highly organised and proactive Legal Secretary to join our growing Residential Conveyancing team. This is a key support role within the firm, where you will be working closely with fee earners, solicitors, and clients to ensure a smooth, efficient, and professional service is delivered from instruction through to completion. Key Responsibilities:

  • Provide comprehensive secretarial support to conveyancing solicitors and fee earners.
  • Prepare and manage documentation for all stages of the conveyancing process, including sale, purchase, transfer of equity, and remortgages files.
  • Accurately transcribe legal documents from audio and written dictation, ensuring formatting and legal terminology is correct.
  • Draft and proofread legal correspondence, contracts, and reports with a high level of accuracy and attention to detail.
  • Liaise directly with clients, estate agents, mortgage lenders, and other solicitors to progress transactions and resolve queries.
  • Conduct initial client interviews where required to collect and verify personal and transactional information.
  • Open, manage, and close conveyancing files in accordance with compliance procedures and regulatory requirements.
  • Maintain up-to-date and well-organised digital and physical filing systems, ensuring all key documents are accessible and securely stored.
  • Manage incoming and outgoing communications including post, email, and telephone calls.
  • Coordinate appointments, meetings, and schedules, proactively resolving any calendar conflicts.
  • Assist with the preparation and collation of documents for exchange of contracts and completion, including Land Registry forms and SDLT submissions.
  • Prepare and compile court bundles or legal packs as necessary for disputes or litigation matters related to property.
  • Provide general administrative support to the wider legal team to help ensure the efficient running of the department.

Required Skills & Experience:

  • Previous experience as a Legal Secretary, ideally within a residential conveyancing department.
  • Sound understanding of the conveyancing process and the legal documentation involved.
  • Fast and accurate typing skills with the ability to transcribe complex legal documents from audio dictation.
  • Confident user of Microsoft Office (Word, Excel, Outlook) and legal case management systems (experience with [insert CMS if known] is advantageous).
  • Excellent written and verbal communication skills, with a professional telephone manner.
  • Ability to multitask, prioritise workloads, and remain calm under pressure.
  • A team player with a proactive, flexible, and client-focused approach.
