- Coordinate One-on-One expert meetings across multiple conferences
- Set up and manage the online scheduling platform for each event
- Ensure expert calendars are efficiently managed and capacity is optimised
- Handle meeting requests, schedule changes, and attendee support via email and live chat
- Liaise with internal teams (research, content, operations) to ensure seamless logistics and alignment
- Travel to conferences to manage on-site scheduling desks and attendee check-ins
- Monitor and support virtual meeting days, acting as first-line support for attendees and experts
- Manage mailboxes and respond to internal/external queries promptly and professionally
- Conduct post-event analysis and reporting to support continuous improvement
- Experienced in coordinating events or conference logistics, ideally in a fast-paced corporate setting
- Excellent communicator with strong written and verbal skills
- Proactive, calm under pressure, and highly detail-oriented
- Able to multitask and prioritise effectively with a high sense of urgency
- Confident using Microsoft Office, especially Excel; experience with scheduling systems a plus
- Client-focused and solutions-driven, with a team-player attitude
- Flexible and happy to travel to UK-based events (around 10–15%)
