My client is a growing construction company specialising in HVAC projects across healthcare, commercial, and residential sectors. We are seeking an experienced office-based administrator to support our operations and work alongside their management team. This role is ideal for someone with a construction admin background who is organised, hands-on, and comfortable supporting across a range of areas. Ideally the candidate will have used Commusoft or other platforms/systems under construction.
Day-to-day of the role:- Maintain electronic job files and folders.
- Track incoming/outgoing POs, delivery notes, and supplier invoices.
- Use of Commusoft/construction platforms
- Assist with uploading documents to client procurement portals.
- Help manage scheduling and delivery bookings.
- Maintain and update registers (tools, certs, insurance, H&S, etc.).
- Assist with raising POs and simple invoices (basic Xero use).
- Match POs to invoices and delivery notes.
- Track job payments, retentions, and chase subcontractor paperwork.
- Support applications for payment and job status updates.
- Help manage subcontractor files (insurance, RAMS, vetting documents).
- Track expiries, missing info, and follow up where needed.
- Prepare or compile H&S documents and accreditations.
- Keep personnel records tidy (training certs, holidays, emergency contacts).
- Monitor expiry dates for CSCS, first aid, etc.
- Coordinate HR admin forms, policies, or documents as needed.
- Minimum 5 years of construction industry office admin experience (HVAC, M&E, or similar) with references.
- Proficient with Microsoft Office (Excel, Outlook, Word).
- Good document control and organisational habits.
- Able to work independently with a proactive attitude.
- Experience with Xero or similar (basic level).
- Experience with Commusoft or similar job management platform.
- Familiarity with ISO9001 processes.
- Used procurement portals (Jaggaer, ProContract, etc.).
- HR admin exposure (ideal but not essential).
- Flexible working days (initially 2 days per week, possibly increasing to 3).
- Office-based role with a negotiable rate.
- Opportunity to transition to a permanent role based on performance and business needs.
