Our client, a well-regarded company is looking for a skilled Legal Secretary to support their busy and dynamic Real Estate team. This position offers a great opportunity to advance your legal support career within a collaborative and professional environment. You’ll play a key role in ensuring smooth day-to-day operations by delivering reliable secretarial and administrative assistance to the legal team.

Key Responsibilities:

  • Provide comprehensive secretarial support to solicitors and fee earners handling a wide range of commercial property matters, including sales, purchases, leasing, and property finance.
  • Manage and respond to all forms of communication, including emails, phone calls, and post, ensuring prompt action or escalation as needed.
  • Draft, format, and revise legal documents such as leases, contracts, licences, deeds, and Land Registry applications, ensuring all documents meet company standards.
  • Open, maintain, and close client files in accordance with company protocols and regulatory requirements, including completing AML checks and client due diligence.
  • Act as a point of contact for clients, external professionals, and other stakeholders, helping to coordinate progress on property transactions.
  • Maintain internal tracking systems and matter reports to provide visibility on transaction status for the legal team.
  • Assist with post-completion tasks such as submitting SDLT returns, filing with the Land Registry, and following up on registrations.
  • Manage diaries, arrange meetings, monitor important deadlines, and book travel or training as needed.
  • Prepare bills and liaise with the finance team regarding client account balances and disbursements.
  • Stay informed about Real Estate legal procedures and departmental practices to help deliver a responsive, high-quality service.
  • Support the Real Estate Operations Manager with ad hoc administrative and secretarial projects.

Experience and Skills Requirements:

  • Previous experience as a Legal Secretary or Legal Assistant within a Commercial Property or Real Estate team is essential.
  • Sound understanding of commercial property processes including leasehold, freehold, and post-completion activities.
  • Strong administrative and document-handling skills, with high attention to detail and accuracy.
  • Excellent communication skills and confidence when dealing with clients, professionals, and colleagues.
  • Ability to prioritise effectively, work to deadlines, and manage multiple tasks in a busy legal setting.
  • Knowledge of compliance protocols including anti-money laundering and client onboarding checks.
  • Comfortable using digital dictation tools, legal software, and Microsoft Office packages.
  • A proactive team player with a flexible, solutions-focused attitude.
