As a Supply chain Assistant in distribution company serving aviation clients. The role involves sourcing suitable manufacturers, initiating supplier relationships, and securing quotes or pricing information.
Supply Chain Assistant responsibilities:
- Examine daily procurement reports for non-franchised items, identify potential vendors, and suggest appropriate purchasing actions.
- Generate and process purchase orders as per instructions, ensuring all necessary approvals and documentation (e.g., End User statements) are included and forwarded to suppliers.
- Confirm receipt and accuracy of supplier order acknowledgements, ensuring alignment with requirements.
- Address any discrepancies in order confirmations with suppliers; if unresolved, escalate to the Supply Chain Manager. Notify the sales team and document issues as necessary.
- Track supplier delivery timelines, manage any delays, and keep delivery records current and precise.
- Issue Requests for Quotation (RFQs) to various suppliers to secure optimal pricing and delivery times, while documenting their responses.
- Help maintain and update the Approved Supplier List with accurate vendor information.
- Foster strong relationships with suppliers to support efficient and effective supply chain operations.
Skills & experience required:
- Strong written and verbal communication skills; confident interacting with new contacts and building productive relationships.
- Detail-oriented and self-driven to complete tasks independently.
- Competence in using the IQ system to retrieve and analyse procurement information.
- Analytical mindset with proficiency in using spreadsheets and other data tools for processing and reporting.
- Skilled in negotiation and assertiveness when engaging with suppliers to ensure timely and accurate deliveries.
- Effective time management and organizational skills.
- Structured and systematic in approach to daily responsibilities.
