This is a new role to provide administrative support to the Managing Director, Business Development Director and Head of HR. This full-time office based role offers a salary up to £30k doe plus pension, healthcare scheme, discounted legal fees, career development and performance reviews. Technical and personal skills training.

Knowledge and Experience Required:

  • Previous experience of working in an administrative role supporting multiple people is essential
  • Excellent keyboard skills with a good knowledge of Microsoft Outlook and Word. Case management system experience would be advantageous
  • Can work on own initiative, good prioritisation and organisational skills
  • A friendly and calm manner
  • Ability to be a team player and flexible outlook

Key Responsibilities:

General support to Managing Director:

  • Pro-actively supporting Managing Director with managing diary and commitments, and being aware of her movements
  • Organising and preparing relevant documents for meetings
  • Typing documents from dictation
  • Preparing Managing Director travel expenses forms for approval

Business Development support:

  • Provide support with organising events and attendance as and when required at exhibitions and business shows
  • Provide support and assistance in keeping website up to date with articles, blogs, staff profiles and photos
  • Order and monitor business stationery items e.g. business cards, name badges and other promotional material.
  • Assist staff in booking on to networking events as and when required & support with organising and promoting internal charity fundraising events

Compliance: Full training will be given

  • Check that corrective actions have been undertaken by required deadlines and inform the Risk & Compliance Officer if they have not been undertaken. Record audit outcomes in a spreadsheet for analysis
  • Assist Risk & Compliance Officer in compiling data for standard file reviews and check that correct number of reviews are being undertaken. Also ensure corrective actions completed by reviewees in the required timeframe
  • Record compliance breaches in the risk register and follow up to check the compliance has been undertaken to close risks.
  • Assist with administrative tasks to support the preparation for audits

HR support:

  • Provide support and administrative assistance with preparing for new starters e.g. requesting references, adding to HR and case management systems.
  • Supporting the Head of HR on an adhoc basis with administrative tasks.
